About the Role

We are seeking a highly organized, detail-oriented HubSpot CRM & Marketing Administrator to support our sales and marketing teams through effective CRM administration, campaign execution, event lead management, and day-to-day operations.

This role is ideal for someone who is deeply comfortable inside HubSpot, understands both CRM and marketing operations, and can keep multiple sales and marketing priorities moving simultaneously.

The right candidate will not only maintain clean data and automated workflows, but will also help run marketing campaigns, manage post-event follow-up, coordinate sales requests, and ensure that leads and prospects receive timely, consistent communication through email campaigns and sales cadences.

Responsibilities

  • Database Management: Maintain contacts, companies, leads, deals, custom properties, pipelines, lists, workflows, and user permissions.
  • Data Quality Control: Continuously monitor CRM data quality, resolving duplicate, incomplete, or inaccurate records.
  • Bulk Operations: Execute data imports, bulk updates, list segmentation, and database cleanups.
  • Lead Routing: Support lead routing rules, ownership assignment, and automated sales workflows.
  • Campaign Building: Build, schedule, and execute marketing email campaigns, nurture sequences, forms, and campaign assets in HubSpot.
  • Reporting & Tracking: Track campaign engagement, lead generation performance, and follow-up activity.
  • Quality Assurance: Rigorously test workflows, emails, forms, and landing assets prior to live launches.
  • Documentation: Document processes, workflows, campaign procedures, and CRM standards.
  • Event Ingestion: Import and organize tradeshow and networking event leads immediately following events.
  • Targeted Segmentation: Segment event contacts and trigger automated follow-up sequences.
  • Sales Coordination: Coordinate with sales representatives to ensure high-priority event leads receive direct, personal outreach.
  • Attribution: Maintain HubSpot campaign attribution for networking events, tradeshows, and marketing programs.
  • Request Management: Manage scheduling and execution for sales-team requests (campaigns, outreach lists, custom reports, and CRM troubleshooting).
  • Prioritization: Prioritize requests based on deadlines, sales needs, events, and business impact.
  • Enablement: Serve as the primary back-office resource for sales representatives with day-to-day CRM questions.
  • Dashboarding: Build and maintain clear dashboards and reports for sales and marketing performance visibility.

Requirements

  • HubSpot Expertise: 3+ years of hands-on experience in HubSpot CRM and HubSpot Marketing Hub administration and automation.
  • Campaign & List Management: Proven experience building marketing emails, segmenting lists, configuring forms, and creating automated workflows.
  • Data & Lifecycle Knowledge: Solid understanding of contacts, companies, leads, deals, pipelines, and lifecycle stages.
  • Analytical Skills: Strong Excel or Google Sheets capabilities (VLOOKUPs, data cleaning, CSV imports).
  • Communication & Detail: Exceptional written and spoken English fluency with an obsessive eye for detail.
  • Timezone Alignment: Ability to work full-time hours aligned with US EST/CST business hours in a dedicated home office.

Nice to Have

  • Active HubSpot Certifications (HubSpot Marketing Hub, CRM Suite, or Inbound Marketing).
  • Experience in Revenue Operations, Sales Operations, or Marketing Operations.
  • Proven track record managing post-event/tradeshow lead distribution and campaign attribution.
  • Familiarity with AI tools and automation platforms (e.g., Zapier, ChatGPT, Make) for workflow enhancement.
  • Data Reliability: HubSpot data remains clean, organized, and reliable.
  • Flawless Execution: Marketing campaigns launch accurately and on schedule.
  • Rapid Lead Processing: Networking and tradeshow leads receive rapid follow-up without dropping through the cracks.
  • Sales Satisfaction: Sales reps receive dependable, timely CRM support and lead distribution.
  • Clear Attribution: Revenue Operations leadership can clearly measure campaign performance and track lead ROI.
