As the organization continues to grow, they are seeking an On-Call Specialist to provide after-hours scheduling support and emergency coordination, ensuring uninterrupted care delivery during evenings, nights, weekends, and holidays.
About the Role:
The On-Call Specialist is responsible for managing caregiver and client schedules outside of normal business hours. This role serves as the primary point of contact for caregivers, office staff, and clients during evenings, overnight hours, weekends, and holidays, ensuring that staffing needs, schedule changes, and urgent situations are handled efficiently.
The ideal candidate is calm under pressure, highly organized, an exceptional communicator, and able to make sound decisions in a fast-paced healthcare environment.
Key Responsibilities:
- Scheduling & Care Coordination
- Manage caregiver and client schedules during after-hours operations
- Assign Certified Nursing Assistants (CNAs), Home Health Aides (HHAs), and Personal Care Assistants (PCAs) to client visits
- Coordinate schedule changes and emergency staffing adjustments
- Follow up on caregiver assignments and client service coverage
- Monitor patient utilization hours and scheduling requirements
- Ensure continuity of care during all assigned shifts
- Communication & On-Call Support
- Serve as the primary after-hours contact for caregivers and office staff
- Handle incoming calls related to scheduling changes, emergencies, and staffing needs
- Communicate professionally with caregivers, clients, referral partners, and internal team members
- Collaborate with office staff prior to business close to ensure smooth shift transitions
- Prepare and distribute on-call reports to appropriate team members
- Documentation & Compliance
- Maintain accurate client and caregiver records within AlayaCare
- Document schedule changes, call activity, and care coordination updates
- Submit daily on-call reports and activity logs before 8:05 AM EST
- Ensure all documentation complies with company policies and healthcare standards
- Perform additional administrative tasks as needed to support operations
Required Qualifications
- 2–5 years of experience in customer service, scheduling, healthcare coordination, dispatching, or a related field
- Strong verbal and written English communication skills with a neutral accent
- Excellent customer service and interpersonal skills
- Ability to remain calm and make sound decisions during urgent situations
- Strong organizational and multitasking abilities
- High attention to detail and documentation accuracy
- Comfortable working independently in a remote environment
- Ability to maintain confidentiality and professionalism when handling sensitive information
Preferred Qualifications
- Experience within home healthcare, healthcare staffing, home care, or medical scheduling
- Experience using AlayaCare or similar healthcare scheduling software
- Previous experience coordinating caregivers or healthcare personnel
- Familiarity with healthcare documentation and scheduling workflows

Role Details
- Fully remote position
- Shift: 5:00 PM – 8:00 AM EST
- Monday–Friday after-hours coverage
- Includes coverage for 4 weekends per month and holidays
- Typical workload of 5–10 calls per night, with peak activity occurring around 5:00 PM and 8:00 AM
- 2–5 years of experience required
- Comprehensive two-week, one-on-one training program provided
