About the Role

We are looking for a Remote Patient Services Coordinator to support patient communication, scheduling workflows, administrative operations, and digital practice initiatives. This role serves as an extension of the in-office team and works closely with the Remote Operations Lead and practice leadership to ensure patients receive exceptional service throughout every stage of their relationship with the practice.

Responsibilities

  • Serve as a primary point of contact for patients through phone, email, text messaging, and digital communication platforms.
  • Manage incoming patient inquiries and ensure timely, professional communication.
  • Support new patient intake processes, including gathering information, entering records, and coordinating appointments.
  • Schedule appointments, coordinate follow-ups, manage recall workflows, and support treatment follow-up efforts.
  • Maintain accurate patient information within practice management software, communication platforms, imaging systems, and digital databases.
  • Assist with patient lead management, nurturing, and conversion activities.
  • Support referral communication workflows and distribution of clinical reports.
  • Assist with insurance-related administrative processes and documentation as assigned.
  • Monitor communication queues and ensure patient requests are routed appropriately and resolved promptly.
  • Support digital workflow initiatives, record organization, document management, and system implementation projects.
  • Track and report patient communication metrics, scheduling metrics, and operational performance indicators.
  • Collaborate with remote and in-office team members to ensure a seamless patient experience.
  • Identify opportunities to improve patient communication, workflow efficiency, and operational effectiveness.
  • Perform additional duties and special projects as assigned by the Remote Operations Lead or practice leadership.

Requirements

  • Minimum 2 years of experience in customer service, patient services, healthcare administration, administrative support, or related fields.
  • Strong written and verbal communication skills with a professional phone presence.
  • Excellent organizational skills and attention to detail.
  • Comfortable learning and utilizing multiple software platforms, databases, and digital systems.
  • Ability to work independently while remaining highly collaborative with remote and in-office teams.
  • Reliable internet connection and dedicated remote work environment.

Nice to Have
