With a combined workforce of over 220 employees across our dedicated painting and waterproofing divisions, we tackle large-scale corporate, commercial, and structural infrastructure projects. To maintain this momentum, we are seeking an exceptionally organized, bilingual Payroll & HR Coordinator to join our centralized corporate operations team.

Role Overview

This is a high-visibility, dual-functioning administrative role designed for a professional who can seamlessly balance high-volume payroll processing with general HR operations. Operating within US Pacific Standard Time (PST), you will serve as the primary, go-to resource for our field crews, project managers, and executive leadership.

The ideal candidate possesses hands-on experience handling multi-employee payroll systems, a firm grasp of standard HR administration practices, and the communication skills required to support a diverse, widespread workforce.

Key Responsibilities

1. End-to-End Payroll & Expense Administration

High-Volume Payroll Processing: Own the end-to-end processing of accurate and timely payroll for our corporate staff and field labor crews (totaling ~225+ employees across two operational divisions).

Expense Management: Review, verify, and process employee expense reimbursement requests in strict alignment with company reimbursement policies.

Compliance & Records: Maintain meticulous digital payroll records, tax documentation, and hour logs, ensuring full compliance with corporate policies and applicable labor regulations.

2. HR Support & Administrative Operations

Employee Relations: Serve as the first point of contact for internal personnel regarding general benefits, payroll inquiries, address updates, and employment verification requests.

Onboarding Logistics: Coordinate the administrative side of the hiring pipeline, tracking new-hire documentation, setting up employee profiles, and ensuring complete internal files.

Cross-Functional Finance Support: Assist the internal finance department with accounts payable (AP) data entry, basic billing reconciliations, and routine budget tracking.

Required Qualifications & Profile

Direct Experience: 2–4 years of verifiable, mid-level experience running payroll and managing core HR administrative workflows for a workforce exceeding 100+ employees.

Language Proficiency: Absolute native-level or near-native fluency in both English and Spanish (written and verbal). You must be completely comfortable translating complex benefit or pay configurations between field crews and corporate leadership.

Technical Savvy: High proficiency working with modern digital payroll platforms, employee tracking databases, and Microsoft Office applications (particularly Excel).

Professional Discretion: An unshakeable understanding of confidentiality, showing the maturity and care needed to handle sensitive financial, personal, and corporate information.
