Program: Pre-Arrival Services - AEIP
Employment Type: Permanent Full-Time (35 hours per week)
Number of Positions: 1
Contract Duration: June 30, 2026 - March 31, 2029
Compensation: $15 to $18 per hour
Reports To: Service Centre Manager
Job Summary:
The Program Assistant provides administrative support to office operations, client records and accounting records in the AEIP Service Centre.
Key Duties and Responsibilities:
- Monitors and maintains office supplies and equipment inventory
- Records all expenses and consolidates monthly expenses summary for review
- Assists in moderating webinars, marks attendances, and conducts data entries
- Performs client data input on in-house platform and iCare system
- Compiles program statistics, summarizes service evaluation surveys and aggregates data for reporting and marketing purposes
- Assists in developing report templates and forms
- Provides support to in-house platform maintenance
- Assists in physical office setup
- Builds and maintains digital filing systems
- Participates and prepares minutes for team and committee meetings
- Records service progress and program improvement action items during team meetings
- Researches industrial and provincial information as well as community resources on a regular basis and updates the program resources
- Assists in service promotion and marketing
- Assists in implementing health and safety guidelines in the workplace as per provincial regulations
- Receives stocks and maintains inventory
- Performs other related tasks and duties as assigned by the Administrative Coordinator or the Senior Project Manager
Education, Training and Experience:
- Post-Secondary Education
- Experience working in an office setting
- Experience in facilitating workshops/group activities
- Experience working with a diverse clientele an asset
- Experience in Paramount Workplace and/or iCare systems is an asset
- Knowledge of administrative and accounting practices
- Knowledge of the social services sector is an asset
Job Skills and Abilities:
- Excellent written and oral communication skills
- Excellent interpersonal skills
- Additional languages are considered an asset
- Ability to work independently and as a part of a team
- Excellent technical skills in MS Office and web-based applications
- Excellent attention to detail and commitment to excellence in service delivery
Additional Information:
- Criminal Record Check Required
- Ability to work evenings and weekends as required
- Ability to travel as required
