The Assisted Living Program is seeking a Residency Assistant to serve as the primary point of contact for prospective residents and families. This role supports admissions, census initiatives, and day-to-day administrative operations while ensuring a smooth move-in experience for residents.

 

The Residency Assistant serves as the primary point of contact for all prospective residents, families, and community referral sources for the Assisted Living Program (ALP). This position supports census development initiatives by responding to inquiries, coordinating tours, and managing admission leads. The Residency Assistant also coordinates apartment preparation, move-in processes, and unit turnover activities, and provides comprehensive clerical and administrative support to the ALP Administration Department.

Responsibilities

  • Serve as the first point of contact for prospective residents, families, and referral sources.
  • Respond promptly and professionally to all inquiries related to residency and admissions.
  • Follow up on all leads and application inquiries and maintain accurate referral and inquiry logs.
  • Manage facility tours, inquiries, and waitlists to ensure a steady pipeline of prospective residents.
  • Conduct tours of the Assisted Living Program or schedule tours with appropriate staff.
  • Maintain waiting lists and all related documentation.
  • Facilitate the admissions process for eligible candidates by coordinating pre-admission activities with the Nursing Department and Case Management team.
  • Ensure apartments are prepared for move-in, including the availability of keys, mailbox access, and door signage.
  • Coordinate with Plant Operations and Environmental Services to manage apartment preparation for new residents and turnover following resident discharge.
  • Oversee logistics related to resident move-ins and transitions.
  • Coordinate the initiation and installation of ancillary resident services, including newspaper delivery, telephone service, and cable/internet access.
  • Coordinate Medicaid transportation for residents requiring transportation to external appointments.
  • Provide clerical and administrative support to the Director and Administrative Coordinator, including but not limited to:
    • Processing accounts payable invoices and purchase requisitions.
