The Toronto Blue Jays are looking for a Specialist, Project Management 


Overview 

The Project Specialist, Project Management provides dedicated administrative, financial, and analytical support for capital expenditure (CAPEX) construction and facilities projects for the Toronto Blue Jays. This role supports the end-to-end capital project lifecycle—from budgeting and procurement through execution and closeout—ensuring accurate cost control, strong documentation management, and wellsupported capital planning and decisionmaking. 


The position is structured to be approximately 80–90% focused on CAPEX administration and project controls and 10–20% focused on business case development and capital lifecycle planning support. 

This is a unique opportunity to play a pivotal role in enhancing and maintaining a best-in-class ballpark experience for staff, fans, and players supporting the long-term vision of excellence for the Toronto Blue Jays.

Responsibilities 


CAPEX Administration & Project Lifecycle Management 

  • Administer end-to-end CAPEX financial controls, while partnering with Finance to ensure consistent monthly reporting, accurate forecasting, and timely reconciliation. 
  • Support CAPEX procurement by compiling quotes, tracking purchase orders, coordinating delivery of capital assets, and managing vendor and contractor invoicing. 
  • Maintain accurate, auditable records of capital expenditures, contractual commitments, and supporting financial documentation. 
  • Organize and manage all CAPEX project documentation, including contracts, correspondence, submittals, change orders, and close-out packages. 
  • Compile cost and quote data to support CAPEX budget development, business cases, approvals, audits, and post project reviews. 

 

Business Case Development & Capital Lifecycle Support  

  • Support Project Managers and the Senior Director in the development of CAPEX business cases, including cost breakdowns, assumptions, timelines, and supporting documentation. 
  • Compile and analyze historical cost data, estimates, vendor quotes, and prior project information to inform capital planning and investment decisions. 
  • Assist with preparing decision support materials, summaries, and presentations for capital approval and governance forums. 


Project Management & Long-range Planning 

  • Support capital lifecycle planning by tracking planned projects, estimated costs, timelines, and dependencies across the CAPEX portfolio. 
  • Assist with maintaining long-term capital plans and ensuring alignment between approved projects, inflight work, and future planning horizons. 
  • Provide support with project execution, including coordination with vendors, monitoring progress against scope and schedule, and ensuring documentation and financial controls remain up to date throughout the project lifecycle. 
  • Contribute to post project reviews and lessonslearned documentation to support continuous improvement and bestinclass capital practices. 


Inventory Management  

  • Track, document, and maintain up-to-date inventory records for all FFE across venues, storage locations, and event spaces 
  • Act as the central goto resource for inventory availability, location, condition, and usage 
  • Coordinate and communicate inventory movements, including requests to add, remove, reallocate, or temporarily deploy assets for events or projects 
  • Ensure changes to inventory status (e.g., in use, in storage, damaged, retired) are accurately captured and communicated 
  • Assist with audits, reconciliations, and process improvements related to inventory control and asset management 


Qualifications 

  • 3-5 years of experience in project administration or project coordination, preferably supporting CAPEX, construction, facilities, or infrastructure projects. 
  • Strong financial aptitude, including experience with invoice processing, budget tracking, cost reporting, and reconciliation. (Oracle)  
  • Proficiency with project or work management platforms (e.g., Monday.com, ClickUp); experience with similar tools considered an asset. 
  • Highly organized, self-directed, and proactive, with the confidence to seek clarification, ask informed questions, and escalate issues to ensure accuracy and alignment. 



Salary: The anticipated base compensation range for this role is $60,000 - $63,000. Actual base pay offered within this range may differ based on a range of factors, including individual experience, education, skills, and organizational needs.
