This position supports core accounting operations by processing accounts payable invoices, recording accounts receivable and revenue recognition entries, preparing journal entries, and analyzing and reporting accounting transactions.

Responsibilities

  • →Review, analyze and prepare daily transactions including but not limited to daily cash receipt deposits, direct mail lockbox deposits, in-kind donations, and inbound credit card transactions in accordance with established revenue recognition policies and procedures.
  • →Manage Accounts Payable electronic mail inbox, Coupa Procure to Pay inboxes and Coupa Expense submissions.
  • →Analyze, validate, and process Accounts Payable invoices and expense reimbursement requests through USO’s Coupa Procure to Pay and Coupa Expenses system to ensure procurement and travel policy compliance. Review and select invoices due each week and prepare disbursement check register for leadership approval.
  • →Prepare revenue contract entries and provide invoices as needed in accordance with GAAP, USO Revenue Recognition Policy and Accounting Operations Department procedures. Accurately record cash receipts and apply payments to open accounts receivable items, when applicable.
  • →Review in-kind donation submissions for policy compliance, proper support, and reasonable valuation by verifying amounts reported against documentation provided and ensuring transactions are recorded to in-kind schedule in accordance with USO In-kind Policies and Accounting Operations Department procedures.
  • →Reconcile and record prepaid postage for direct response campaign paid to USPS EPS postage account as well as record outgoing wire transfer payments, and inter-company bank transfer activity.
  • →Prepare assigned journal entries in Sage Intacct accounting system in accordance with generally accepted accounting principles.
  • →Provide administrative support to USO’s corporate credit cardholders by managing Finance Support tickets received in JIRA. Order, terminate, and update cardholder profiles within WellsOne Expense Manager platform.
  • →Import approved monthly statement activity and reconcile associated balance sheet account with credit card statement to report outstanding cardholder transactions.
  • →Retrieve and distribute Finance Operations Accounts Payable mail received by USPS and FedEx.
  • →Draft and prepare correspondence and reports. Other duties and special projects as assigned.
  • →This is an in-person position located in Arlington, VA.
  • Bachelor’s degree in Accounting or a Business Administration field and a demonstrated understanding of accounting principles through work experience.
  • 1-3 years of work experience in a clerical or accounting support role. Relevant experience in a not-for-profit, military, multicultural and/or global organization preferred.
  • Strong interpersonal and customer service skills. Ability to handle confidential information and communicate using multiple channels with tact and poise.
  • Proficiency in written and oral communications. Fluency in English with the ability to speak, read, and write in the language of the host country at a native level preferred.
  • Ability to perform basic accounting and business functions such as budget/account reconciliation, journal/ledger entries and banking transactions.
  • Strong knowledge of various software programs including but not limited to Microsoft Word, Excel, PowerPoint, Access and Outlook.
  • Demonstrated initiative/self-motivation, attention to detail, organizational and time management skills.
  • Ability and willingness to work overtime as needed.
  • Ability to lift and carry up to 10 pounds.
  • Must be a strong advocate of the USO’s mission to lift the spirits of American’s troops and their families.
  • The salary range for this posting is $58,000-$76,125.
  • To support pay transparency, this posting includes the anticipated base salary range for this role. Compensation is determined based on several factors including geographic location, relevant experience, specialized skills, certifications, and overall alignment with the position requirements. Our compensation practices are designed to ensure market competitiveness and internal equity across roles and levels.
