Whiteroom is fueled by our ethos of ‘Powder, Culture, Adventure’ and this multi-functional role combines all elements of this mantra in a year round Japan based position. A successful candidate will combine sales and administration work during the non operational period (April to November) with a leading role in overseeing our base operations in either Niseko or Furano.
To succeed in this role you will need to have a clear passion for skiing and snowboarding alongside a love of Japan. Being lateral thinking with the ability to multitask are key skills required during the operational season as you work alongside the senior management team to oversee the day to day operation of one of our bases in either Niseko or Furano.
Combining a friendly and approachable mindset with strong communication skills will be essential for not only our staff but also for the upkeep of the highest standards of customer service whilst being efficient and technologically savvy.
During our non operational period, this role will focus assisting in all parts of the greater Whiteroom operations, this will include having an understanding of our sales and booking channels, human resources for our seasonal staff, and product knowledge.
An ideal candidate will be a person that wishes to work within a close knit team of travel and snow professionals in a fast-paced dynamic environment to create and deliver amazing experiences for our clients.
Experience:
- 3+ years previous experience in a seasonal supervisory or management role (preferred).
- Japanese spoken and written proficiency is preferred but not required.
- Outdoor or travel industry experience preferred.
Base Coordinator Responsibilities and Duties:
- Work alongside the senior management team to coordinate all operations within a Whiteroom base.
- Ensure all staff follow all Whiteroom policies and operating procedures at all times.
- Constantly update your own personal knowledge of all Whiteroom products as well as auxiliary services
- Communicate with supervisors & senior management as required, all details of the operation.
- Assist with human resources tasks as directed by Whiteroom Japan's General Manager or Company Directors
- Work closely with senior on snow staff, guest services and the Whiteroom tour coordinator alongside other full time staff to create clear lines of communication from the booking process to the delivery of a product.
- Assist with payroll when required.
- Oversee the ops team within your base area.
- Organise, oversee and manage the budget for social events in your base area.
- Assist with seasonal reviews of staff when required.
- Give assistance to any client when asked and look for ways to foresee client requests in order to deliver exceptional customer service.
- Assist with the effective delivery of all facets of the operations;
- Complete and manage administration tasks on time and ensure all administration requirements for your base are completed and correct, these may include,
- Follow all financial and booking procedures.
- Receipt management
- Guide report collection - making sure all guides have correctly handed back in the end of tour reports and they have been filled in correctly
- Displaying and communicating staff schedules schedule
- Maintain and oversee the team's professional client contact at all times by email, phone or in person.
- Logistics - Tracking vans to ensure we follow the standard operating procedure for all snow days.
- Maintain & follow appropriate occupational health & safety plus regulatory requirements at all times.
- Represent Whiteroom in a positive light as an employee for the business both during work and in your personal time.
- Look for and communicate opportunities to promote the future growth of the Whiteroom brand
- Any other tasks as required
Skills and Attributes:
- A passion for skiing and snowboarding with a strong knowledge of the Hokkaido region is preferred.
- Previous experience in the outdoor or travel industry is preferred.
- Excellent organizational and time management skills.
- High level of computer & administrative skills.
- Clear customer service-focused mindset.
- Exceptional interpersonal and communication skills.
- Be able to work independently and problem solve.
- Be adaptable – while we plan for a smooth running operation, unforeseen situations can arise.
- Sales-oriented mindset with the ability to upsell services and packages.
- High level of self-motivation.
- Bilingual - English & Japanese.
