As an Assistant Client Manager for our Jupiter, Florida office team, you will be responsible for maintaining relationships and communicating with a portfolio of customers, which will take up approximately 30% of your time (in person, by video call, phone, and email).

The remaining time will be spent preparing monthly financial reports, completing reconciliations, and supporting accounts receivable activities.

This is an in-office role that requires meeting customers on-site, as well as assisting in overseeing office staff and equipment to ensure smooth day-to-day operations.

The ideal candidate is a positive, proactive individual who enjoys building relationships, educating clients, and helping others through clear communication and problem-solving.

Responsibilities

  • Assist the Senior Client Manager in managing and nurturing client relationships, addressing client inquiries, and providing timely and accurate information through in-person meetings, video calls, phone, and email.
  • Maintain regular communication with a portfolio of clients, ensuring a high level of responsiveness and personalized service.
  • Support the planning, execution, and monitoring of client projects, ensuring they are delivered on time and within scope.
  • Prepare monthly financial statements, reports, and analyses for clients, ensuring accuracy and compliance with accounting standards.
  • Complete bank and account reconciliations.
  • Help maintain accurate and up-to-date client records, including financial data, correspondence, and project documentation.
  • Ensure compliance with local, state, and federal regulations, and stay updated on changes in accounting standards and practices.
  • Coordinate and communicate effectively with clients, internal teams, and external stakeholders to ensure smooth service delivery and client satisfaction.
  • Assist in the onboarding process for new clients, including gathering necessary documentation and setting up client accounts.
  • Support office operations by helping oversee office staff, equipment, and in-person client interactions.

Requirements

  • Minimum of 5 years of accounting experience, preferably within the HOA or condominium association industry.
  • Experience in a client-facing role within a public practice, accounting firm or management company.
  • Bachelor's degree in accounting or a related field preferred.
  • Proficiency in accounting software and Microsoft Office Suite (Word, Excel, Outlook).
  • Strong understanding of accounting principles and practices.
  • Excellent organizational and time management skills.
  • Strong analytical and problem-solving abilities.
  • Excellent verbal and written communication skills.
  • Ability to manage multiple clients and priorities simultaneously.
  • High level of integrity and professionalism.
  • Strong customer service orientation with a passion for educating and supporting clients.
  • Positive attitude and strong interpersonal skills.
