WHO WE ARE HIRING
All Out is looking for an Operations and Finance Associate. The Operations and Finance Associate supports the day-to-day functions of the organization across finance, administration, people operations, and member engagement. This is an excellent opportunity to gain first-hand experience of how a progressive global nonprofit operates, with exposure to human rights advocacy, LGBT+ digital activism, and a wide range of internal stakeholders from staff and partners to Board members and major donors.
This role should be based in Central America, Mexico, Colombia, or Brazil. Note that you should have all the necessary permits and authorizations to work in your country of residence. As a US non-profit, All Out will not be able to request or sponsor a work permit on your behalf.
Reports to: Senior Manager of Operations and Finance
Position type: Full-time, permanent, remote
RESPONSIBILITIES
Finance
- Process accounts payable and accounts receivable, including mid-month and end-of-month payments, with approval from the Senior Manager of Operations and Finance.
- Code invoices to ensure payables align with contracts and approved budgets.
- Manage the end-of-month closing process: request reports from fiscal sponsors, donors, and vendors; draft donation reports; compile all backups for the prior month for review by the Senior Manager of Operations and Finance.
- File all financial reports and backups, maintaining organized and accurate records of all financial documentation.
- Draft and share the online donation report monthly with the Supporter Engagement Team, monitoring major donors, and flagging them to the Executive Director as appropriate.
People Operations
- Support the Executive Director in the annual and mid year performance review process with messaging and tracking.
- Support the team in any team surveys or recruitment processes as needed.
- Draft annual public holidays list and manage updates in BambooHR.
- Manage out-of-office and public holidays calendars, and inform staff of time zone changes and their effect on scheduled meetings.
Meeting and Events
- Schedule Board meetings and lead on logistics for any staff travel, including booking as needed.
- Support the Executive Director with logistics for donor events.
- Manage the team meeting calendar and provide light scheduling support for internal meetings.
Member Engagement and Programs
- Oversee communications with supporters that come through All Out’s Contact Us form, responding to donor inquiries and technical issues, and triaging to other team members as needed.
- Gather reporting from past grantees by grant agreement deadlines, flagging late submissions to campaign leads.
- Manage the due diligence process for Grassroots Giving program funding applicants, including proofing documentation and collecting references.
- Draft Grant letters to grantees and maintain the reporting schedule and review process.
ESSENTIAL SKILLS
- 2-3 years of office experience, ideally with experience in one of the following: non-profit administration and finance, accounts payable and accounts receivable.
- Experience working with excel, data reporting and basic analysis preferred.
- Extremely detail oriented, able to meet deadlines and self start.
- Great interpersonal and project management skills – with the ability to liaise internationally with a range of stakeholders from members, partners, and activists to board members and major donors.
- Ability to work independently and manage multiple work streams with minimal supervision
- Desire to thrive in a creative, inventive, fast-paced global environment, with people who are passionate about their work and mission.
- Fluency in English, with second language skills highly desirable. Skills in Portuguese, Spanish and German preferred.
- Demonstrated commitment to and knowledge of social justice and/or LGBT+ issues.

Salary range $29,000 - $33,500 USD, plus benefits. A salary offer for a candidate’s specific location and experience will be shared during the recruitment process, prior to interviews.
