Reporting to: Regional Director, South & West Asia

Salary: (Grade 5) India INR 1,253,038 gross per annum - Due to its commitment to maintain equity and fairness, C40 operates on a spot salary model. This means that our employees are paid the same salary according to their grade and location.
Term: Fixed Term Contract until 15th December 2026

Department description
C40 is a global, city-led organisation and the central premise of its collaborative model is that there is more that unites than divides the great cities of the world. It is a strength that C40 has a global Business Plan and that all cities are setting equally high ambition targets to deliver on the goals of the Paris Agreement, while achieving a green & just COVID-19 recovery. It is, however, also necessary to consider the specific needs, priorities and capacity of each of C40’s regions and individual cities.
Therefore, the key objectives of the C40 Regions & Mayoral Engagement team are regionally aligned delivery (ensuring city satisfaction and that C40 remains responsive and relevant to the needs of cities); political engagement (ensuring that C40 builds strong relations with mayors, city officials and regional entities); and effective operations (ensuring data-driven regional strategies and effective processes that support organisation-wide delivery).
Position description:
The post holder will support the delivery of the South and West Asia (SWA) regional team. The Regional Officer will be an organised and proactive individual who will join and support the team to help coordinate and facilitate the delivery of the SWA regional team covering member cities across the specified regions.
The Regional Officer combines strong analysis and administrative skills. The ideal candidate will have strong MS Office skills (PowerPoint and Excel mainly), a high degree of comfort coordinating multiple stakeholders (including city staff and partners) as well as some international experience. They will be excellent problem-solvers, able to keep track of multiple tasks and processes simultaneously.
Responsibilities:
- Provide administrative support to the Regional Director and the Regional Team in South and West Asia, including in-person and virtual event coordination/regional convening, webinar preparations, logistics and coordinating internal trainings, meeting organisation, document preparation, presentations, etc.
- Support effective coordination between the SWA regional team and other internal C40 teams, city staff and relevant partners.
- Support work tracking, ensuring information is available, organised, easy to access and up to date through maintenance of various trackers such as Salesforce and other similar platforms.
- Support other internal C40 and regional processes especially updating political insights important for C40’s engagements, tracking contact protocols and coordinating with the team for city communication.
- Draft reports, briefings for management team and funders requested from the region.
- Conduct desk research as required to gather or assess information on supported cities and projects.
- Support creation of clear and updated documents and presentations as requested for global teams and programmes;
- Support recruitment process for the regional staff.
- Support monitoring members’ compliance with Leadership Standards.
- Gather and provide political updates to RME lead and MT.
- Support relevant procurement (e.g. translation and interpretation needs) and financial tracking processes.
- And any other duties appropriate for the grade.
Person specification:
- Strong written and verbal communication skills.
- Experience supporting senior teams in day-to-day activities.
- Good problem-solving, strategic thinking and analytical capabilities.
- Strong skills in MS Excel and other relevant tools.
- Experience in event planning and management.
- Expertise and/or interest in workshop preparation and facilitation, including preparation and design of presentations in MS PowerPoint and related resources.
- Efficient and effective administrative skills and experience.
- Detail-oriented, ability to multitask and manage time wel.l
- Experience in government, business or NGO sectors with a focus on cities, sustainability and/or climate change.
- International experience working across different cultures, languages and time zones.
- Excellent written and spoken English is a requirement. Additional local language skills are encouraged.
