Cabinet Peaks Medical Center is looking for a Office Supervisor to join the Cardiology  Department!

The Cardiology Office Supervisor provides administrative and operational support for the daily functions of the cardiology medical practice to ensure efficient workflows, high-quality patient care, and effective communication. This non-exempt role coordinates front-office and clinical support activities, assists with scheduling and patient flow, supports compliance and quality initiatives, and serves as a liaison between patients, staff, and medical providers. The Supervisor provides day-to-day guidance, support, and coordination of staff. The Supervisor is responsible for identifying performance or behavioral concerns, documenting observations, and escalating issues to department leadership or Human Resources for appropriate action.


Major Job Duties & Responsibilities


Patient/Customer Satisfaction:  Supports patient-centered practices that enhance the patient experience. Utilizes tools such as AIDET, service recovery techniques, and effective communication to support patient satisfaction goals.

Operational Coordination: Coordinates daily office activities including appointment scheduling, referrals, patient flow, and communication between clinical and administrative staff. Identifies workflow inefficiencies and implements improvements in collaboration with leadership

Staff and Provider Support: Provides day-to-day oversight and operational support to front-office and clinical staff. Serves as a resource for staff questions, assists with workflow coordination, and promotes effective communication across the team. Helps ensure adequate staffing coverage and efficient clinic operations.

Employee Relations Support: Provides day-to-day oversight and operational support to front-office and clinical staff. Serves as a resource for staff questions, assists with workflow coordination, and promotes effective communication across the team. Helps ensure adequate staffing coverage and efficient clinic operations.

Quality and Safety Support: Supports adherence to quality and safety standards. Monitors workflows and proactively identifies risks or concerns, escalating issues appropriately. Reinforces organizational expectations and best practices with staff.

Compliance and Policy Adherence: Promotes adherence to organizational policies, procedures, and regulatory requirements. Serves as a role model for compliance, confidentiality, and professional conduct. Reports concerns or violations through appropriate channels,

Administrative Responsibilities: Completes assigned administrative tasks including data entry, tracking, audits, reporting support, and documentation maintenance. Ensures accuracy and timeliness of assigned work.

Coverage and Support: Provides back-up support for front-office or clinical support functions during high patient volume, staffing shortages, or absences. Performs assigned duties within the scope of training and established procedures.

 

Skills, Knowledge, & Abilities

Strong communication and interpersonal skills

Excellent organizational skills with attention to detail

Ability to follow established workflows and procedures

Problem-solving skills and ability to prioritize tasks

Ability to work effectively in a fast-paced clinical environment

Customer-service oriented with a team-based approach

 

Education Requirements

Associate degree in healthcare administration, business, or a related field (preferred)


Experience

3–5 years of experience in a medical office setting, preferably in cardiology or a specialty practice

Prior experience in a technical or clinical support area is required, lead or supervisory capacity preferred

Working knowledge of medical billing processes, cardiology-related coding, EMR/EHR systems, and insurance verification

Familiarity with compliance regulations (HIPAA, CMS, OSHA)

Proficiency in office software, including Microsoft Office and EMR platforms such as EPIC, Athenahealth, or eClinicalWorks
