FUNCTION & ROLE Under general supervision of the General Manager, the Assistant General Manager (AGM) serves as an executive operational leader supporting the General Manager in overseeing Trilogy at Monarch Dunes. This role focuses primarily on governance, operational administration, landscape contract oversight, and complex California compliance for the HOA community of 1,320+ homes. Resort operations serve as a secondary focus, requiring the AGM to maintain full operational knowledge to serve as the executive backup as needed. The General Manager maintains direct oversight of facilities maintenance and resort businesses.
While primary daily efforts are dedicated to HOA governance, financial management, and common area administration across the community's associations, the AGM maintains cross-functional familiarity to support and step in as backup across The Monarch Club complex—including Adelina’s, the Sandalwood Spa, and banquet and event facilities.
SUPERVISORY RESPONSIBILITIES
- Direct administrative oversight, guidance, and daily management for HOA operational administrative staff and landscape vendor services.
- Primary daily focus dedicated to supporting HOA governance, compliance, community administration, and financial health.
- Comprehensive operational knowledge across Food & Beverage (including Adelina's high-end comfort food concept), the Sandalwood Spa, and lifestyle/events in order to serve as the primary executive backup to the General Manager and provide supervisory support as needed.
REQUIREMENTS
- Leadership Experience: 4+ years of progressive leadership in large-scale HOA or Common Interest Development (CID) management. CCAM® (Certified Community Association Manager via CACM) or CMCA® / AMS® (via CAI) designation strongly preferred.
- Compliance Knowledge: In-depth working knowledge of the California Davis-Stirling Common Interest Development Act, California Civil Code governing HOAs, open meeting laws, and annual disclosure packages.
- Financial & Budgetary Expertise: Strong financial oversight skills, including demonstrated expertise in HOA budget development, variance analysis, general accounting principles, and full profit and loss (P&L) statement management across multi-entity operations.
- Landscape Management: Direct experience overseeing large-scale community landscape operations, vendor contract compliance, and field performance evaluations.
- Hospitality / Resort Oversight: 2+ years of direct operational oversight managing Food & Beverage operations, full-service spa facilities, and catered banquet/events in a private club, resort, or luxury active-adult community (or equivalent related experience).
- Large-Scale Operations: Proven experience managing multi-faceted operations and amenity structures in communities or resorts with 1,000+ units/members.
- Technical Skills: Personal computer proficiency, including high comfort with Microsoft Office Suite, board management software, and quick adaptation to specialized club and HOA management systems (e.g., Northstar).
- Education & Certifications: HOA-specific education and industry certifications (e.g., CCAM® via CACM, CMCA® / AMS® via CAI) required, or equivalent specialized community association management training.

RESPONSIBILITIES AND DUTIES
- Statutory & Regulatory Compliance: Enforce community CC&Rs, Bylaws, and Rules & Regulations in strict accordance with the California Davis-Stirling Common Interest Development Act. Ensure operational alignment with California Civil Code regulations.
- Financial & Budgetary Oversight: Assist the General Manager with annual budget preparation, line-item financial variance analysis, and monitoring of departmental P&L statements. Ensure fiscal responsibility, proper code allocation, and sound financial control across all association entities.
- Landscape & Common Area Oversight: Provide direct management and vendor oversight of community-wide landscape operations, ensuring contractor adherence to scope of work, holding performance reviews, and maintaining common area aesthetic and health standards across the property.
- Multi-Association Coordination: Assist in operational touchpoints and cross-association alignment between the Central Coast Management Association (CCMA), Woodlands Master Association (WMA), and Monarch Ridge Townhomes Association (MRTA).
- Board & Member Relations: Prepare board meeting packets, draft executive session minutes, oversee annual election processes under California standards, and manage member dispute resolution (IDR/ADR). Ensure meeting minutes and additional required documents are posted on the website in a timely manner.
- Architectural & Compliance Oversight: Manage the Architectural Review Committee (ARC) submission workflows and field inspections to uphold community aesthetics across all 1,320+ homesites.
- Food & Beverage (F&B): Maintain comprehensive operational knowledge of on-site culinary operations, including Adelina’s to ensure seamless execution, inventory controls, ABC license compliance, labor cost optimization, and service standards when stepping in as the executive backup to the General Manager.
- Sandalwood Spa Oversight: Maintain functional operational familiarity with the 31,000 sq. ft. Monarch Club’s Sandalwood Spa—including wellness facility standards, practitioner scheduling, treatment menus, vendor relationships, and health/safety compliance—to provide backup supervisory support as needed.
- Banquets & Private Events: Maintain secondary operational oversight for large-scale community social events, private member functions, weddings, and banquets across The Monarch Club's event spaces, serving as backup to ensure smooth cross-departmental coordination between culinary and event execution teams.
- Reporting & General Operations: Complete daily, weekly, and monthly financial and operational reports as required by management, execute other related tasks as assigned by management, and attend/lead departmental and board meetings as directed.

PHYSICAL DEMAND / WORK ENVIRONMENT
- Must occasionally lift and/or move up to approximately 50 pounds during event setups and operational assistance.
- Ability to work flexible hours, requiring weekends, evenings, and holidays as needed for board meetings and major community events.
- Required to adhere to a specific dress code featuring a sharp, professional resort-casual style.
- Noise level ranges from usually quiet to loud during major social productions and busy dining/club periods.
