SENIOR GRANT & PROJECT ACCOUNTANT
Salary Range: $90k-100k/year DOE

Your Impact
The Senior Grant & Project Accountant plays a critical role in ensuring that Habitat Greater San Francisco remains a good steward of donor funds. This position oversees the financial management of grants and audits that are required for each contract, as well as development and construction spending by managing construction billing, contract documents, and maintaining construction cost data. This position will work closely with the Payroll, Home Preservation, Real Estate, and Construction and Fund Development departments. This position reports to the Vice President of Finance.
Primary Responsibilities
GRANT MANAGEMENT (25%)
- Oversee the financial management of federal and state grants, local cost reimbursable grants, and other funding sources.
- Prepare and submit timely and accurate financial reports to funding agencies.
- Ensure compliance with federal Single Audits and other regulatory requirements.
- Coordinate with program managers and other stakeholders to ensure the effective use of grant funds.
- Monitor and analyze grant expenditures and revenues and provides regular financial updates to senior management.
- Participate in the budgeting process, including the preparation of grant budgets and creation of budget revisions/forecasts to optimize grant revenue utilization.
CONTRACT MANAGEMENT (25%)
- Enter and manage contract commitments for all construction jobs into the accounting system (Sage Intacct).
- Maintain and file all consultant and subcontractor contract documents, including Contracts, W9s, COI’s, Lien Releases and Change Orders.
- Collect and track insurance records and ensure that all subcontractors are properly insured and licensed prior to start and throughout the duration of the project.
- Communicate consistently and effectively with subcontractors to reconcile pay application status with respect to original contracts, change orders, and pending change orders.
- Generate monthly financial and budget vs. actual reports for Construction, Real Estate Development, and Home Preservation.
MONTHLY BILLING (20%)
- Manage the monthly construction draw process including collecting, reviewing, and processing invoices, assigning costs to the corresponding job and coding, and obtaining payment approvals.
- Establish and maintain a positive working relationship with all subcontractors, suppliers and vendor representatives.
- Manage Construction Purchase Orders including generating requests, obtaining approvals, and tracking billing against POs.
- Support the Construction and HP Project Manager(s) with budget forecasting by tracking construction expenses across projects over time.
- Work closely with the Payroll, Home Preservation and Construction teams to ensure that revenues and receivables in Sage Intacct are reconciled per project.
CONSTRUCTION AND PROJECT FINANCIAL ANALYSIS (10%)
- Track and analyze construction costs by project, phase, and cost category (labor, materials, subcontractors, overhead).
- Support accounting and financial reporting for construction-in-progress (CIP) and completed homes.
- Assist with cost allocation methodologies across programs, construction activities, and supporting services.
- Monitor project profitability, cost overruns, and variances and communicate findings to leadership.
ADMINISTRATION & DOCUMENTS MANAGEMENT (10%)
- Scan all Real Estate Development and Construction invoices to appropriate shared drive folders.
- Responds to calls and correspondence within 24 hours.
- Provides A/P and A/R information as requested from other departments and consultants.
PROJECT ACCOUNTING LEADERSHIP (5%)
- Provide leadership to the accounting team for project and grant accounting; this position will have no direct reports and will lead by influence.
SPECIAL PROJECTS & OTHER DUTIES AS ASSIGNED (5%)
- Audit and Tax compliance; Assist with annual audit schedules related to revenue and receivables and the Single Audit; provides Auditors with reports and testing documentation.
- Update job knowledge by participating in educational opportunities; reading professional publications; maintaining personal networks; participating in professional organizations.
- Identify risk and work with the Chief Financial Officer/Vice President, Finance and Senior Accountant and Analyst to select (where appropriate) efficient and effective alternative business processes to achieve objectives.
- Work with the Vice President of Finance to develop, implement, and maintain updated accounting procedures for job costing in relation to HP and Construction Projects.

Minimum Qualifications
- 3-5 years of work experience in accounting and/or finance or related field preferably with one year of job costing and/or grant accounting experience.
- Bachelor’s degree in finance or accounting or related field or an equivalent combination of education and experience.
- Advanced Excel Skills required; Must be highly proficient in Excel and be able to create pivot tables, remove duplicates and lookup functions.
- Excellent organizational and written communication skills. Close attention to detail and a can-do attitude.
- Experience monitoring budgets, tracking expenditures, and preparing financial reports.
- Knowledge of generally accepted accounting principles (GAAP) and financial compliance requirements.
- Demonstrated ability to analyze financial data, identify discrepancies, and recommend corrective actions.
- Strong organizational skills with the ability to manage multiple priorities and meet deadlines.
- Ability to collaborate effectively with cross-functional teams and communicate financial information to diverse audiences.
- Must be able to pass background check (In accordance with state and county law: convictions do not necessarily rule out employment, it depends on the nature and severity of the conviction and is evaluated on a case-by-case basis; check is conducted on last 7 years only.)
Preferred Qualifications
- Experience with Sage Intacct is a plus.
- Experience with Procore is a plus.
- Not-for-profit experience is a plus.
- Not-for-profit and/or Construction experience is a plus.
Work Environment
This job operates in a professional office environment. This role routinely uses standard office equipment such as computers, phones, photocopiers, and filing cabinets. This position requires three days minimum per week in office and collaboration with multiple departments.
Physical Demands
This is a largely sedentary role; however, some filing is required. This would require the ability to lift files, open filing cabinets, and stand or bend as necessary. Must be able to travel within HGSF’s service area.

Compensation for this role is competitive, DOE.
