You will be required to assist with mortgage administration, post-closing support, and operational activities, which may at times extend beyond the duties listed below.

Supporting the mortgage operations team with post-closing tasks, file maintenance, document management, issue resolution, and general administrative support. This role will act as a flexible resource across the team, assisting with a variety of mortgage-related and operational tasks as required.

This will require you to liaise with internal teams, borrowers, brokers, lenders, title companies, and other stakeholders, maintain accurate loan records, organise and manage documentation, track outstanding post-closing items, and assist with resolving file-related issues. You will also provide administrative support, manage data entry, monitor task completion, and assist with operational projects to support the efficient day-to-day functioning of the mortgage team.

Other responsibilities include but are not limited to:

  • Assist with maintaining and updating mortgage loan files and supporting documentation
  • Review incoming documentation for completeness, accuracy, and proper filing
  • Perform data entry and maintain accurate loan records across mortgage systems and internal databases
  • Track outstanding documents, post-closing items, and administrative tasks to ensure timely completion
  • Support post-closing activities and assist in resolving outstanding file issues
  • Assist with document preparation, file organization, scanning, indexing, and record management
  • Communicate with internal teams and stakeholders regarding file status, outstanding documentation, and administrative requirements
  • Prepare, organise, and maintain electronic loan files and documentation
  • Assist with quality control reviews to ensure files are complete and properly documented
  • Monitor task queues and administrative workflows to ensure timely completion of assigned activities
  • Identify and escalate file discrepancies, missing documentation, or operational issues as required
  • Maintain confidentiality and security of borrower and company information
  • Assist with reporting, file audits, and operational tracking as required
  • Provide general administrative support to the mortgage operations team
  • Assist management and team members with special projects and additional operational tasks as required
  • Utilise communication and documentation tools such as Microsoft Office and Google Workspace
  • Use workflow and task management systems to prioritise workload and support team productivity
  • Adapt to changing business needs and support different areas of mortgage operations as required

Requirements

  • Previous experience in mortgage administration, post-closing, loan support, mortgage support, or a similar mortgage operations role
  • US mortgage experience preferred but not essential
  • Basic understanding of mortgage loan documentation and mortgage operations processes
  • Experience working with mortgage software, loan origination systems, or document management platforms is advantageous
  • Strong administrative, organisational, and time management skills
  • Ability to work effectively in a fast-paced environment and manage multiple priorities
  • Comfortable switching between tasks and supporting different areas of the business as required
  • High attention to detail and commitment to accuracy
  • Strong verbal and written communication skills
  • Ability to follow established processes while remaining flexible and adaptable
  • Strong problem-solving skills and ability to identify and escalate issues appropriately
  • Proficiency in Microsoft Office, particularly Outlook, Excel, and Word
  • Experience using workflow management, task management, or CRM systems is advantageous
  • Quick learner with the ability to adapt to new systems, processes, and responsibilities
  • Highly coachable, flexible, and willing to take on a variety of responsibilities
  • Ability to work independently while contributing effectively within a team environment
  • Strong work ethic and willingness to support operational requirements as business needs evolve
