You will be required to assist in all aspects of post-purchase services, client support, stakeholder coordination, administration, and Relationship Manager support, which may at times extend beyond the duties listed below. Managing the day-to-day post-purchase administration functions, including coordinating client updates, managing requests and follow-ups, collecting information from developers, builders, brokers, and other stakeholders, maintaining accurate client and property records, updating Salesforce, and ensuring all post-purchase activities are completed accurately and on time.   • Manage, sort, and delegate emails from the shared inbox to the appropriate Relationship Managers.
  • Coordinate post-purchase client requests and ensure tasks are assigned and actioned within required timeframes.
  • Collect and maintain updates relating to property registration, titles, valuations, construction, settlements, and other post-purchase milestones.
  • Request and follow up on title and registration updates from developers, builders, and other relevant stakeholders.
  • Request and follow up on valuation access details and provide relevant information to brokers to support finance applications.
  • Collect fortnightly and monthly construction updates from builders and developers.
  • Prepare and draft client updates regarding construction, title, registration, and other post-purchase milestones for Relationship Manager review and approval.
  • Provide clients with timely and accurate updates once communications have been reviewed and approved.
  • Maintain accurate client, property, purchase, and stakeholder information in Salesforce and other relevant systems.
  • Monitor outstanding requests and proactively follow up with stakeholders to ensure information is received within required timeframes.
  • Coordinate communication between clients, Relationship Managers, brokers, developers, builders, and other stakeholders as required.
  • Assist with post-purchase documentation, records, and administrative requirements.
  • Identify and escalate delays, issues, or matters requiring Relationship Manager attention.
  • Maintain organised records of client communications, stakeholder requests, property updates, and completed activities.
  • Provide day-to-day administrative and coordination support to Relationship Managers.
  • Assist with client communications, stakeholder follow-ups, documentation, reporting, and other ad hoc post-purchase requests.
  • Attend daily team meetings to review priorities, outstanding tasks, and roadblocks.
  • Assist with general post-purchase services, client administration, reporting, and coordination tasks as required.

Requirements

  • 2–3 years' experience in client services, administration, property, finance, customer support, coordination, or a similar role.
  • Experience in property, real estate, mortgage broking, conveyancing, or post-purchase services is highly advantageous.
  • Strong organisational and time management skills.
  • Excellent written and verbal communication skills.
  • High attention to detail and strong focus on accuracy.
  • Strong follow-up and stakeholder management skills.
  • Ability to manage multiple tasks, deadlines, and competing priorities.
  • Experience managing shared inboxes and coordinating multiple requests.
  • Proficiency in Microsoft Office, Google Workspace, spreadsheets, and cloud-based systems.
  • Experience using Salesforce or other CRM systems is advantageous.
  • Confident communicating with clients, brokers, builders, developers, and other stakeholders.
  • Experience supporting Australian clients or working within an Australian property or finance environment is advantageous.
