Partner Forces is seeking an Executive Assistant to support a DHS client front office through executive coordination, operational support, and day-to-day front office management. This role is ideal for a highly organized, proactive, and collaborative professional who thrives in fast-paced, mission-oriented environments and enjoys serving as a trusted partner to leadership teams.

This position sits at the center of front office coordination and requires someone who can balance exceptional administrative support with professionalism, operational awareness, and strong relationship management skills.

The ideal candidate is polished, adaptable, and solutions-oriented, with strong communication skills and the ability to build trusted relationships across government and contractor teams. This is a fully onsite role supporting a high-visibility DHS front office environment with a dynamic operational tempo and evolving priorities.

Responsibilities

  • Provide high-level calendar management and scheduling support for senior leadership, including meeting coordination, prioritization, and conflict resolution.
  • Coordinate travel, visitor access requests, meeting logistics, and executive support activities.
  • Prepare agendas, briefing materials, meeting notes, executive correspondence, and read-ahead materials.
  • Support day-to-day front office operations through proactive coordination, organization, and follow-through.
  • Track action items, leadership requests, deliverables, and suspense deadlines across stakeholders and teams.
  • Coordinate and support leadership engagements with internal offices, interagency partners, and external stakeholders.
  • Assist with the preparation and coordination of materials related to program operations, leadership updates, and stakeholder engagements.
  • Facilitate communication and coordination across government and contractor teams to ensure front office priorities move forward efficiently.
  • Help coordinate leadership meeting cadence, governance activities, and cross-functional collaboration efforts across the organization.
  • Support surge priorities and time-sensitive initiatives in a fast-paced operational environment.
  • Assist in maintaining awareness of organizational priorities, emerging issues, and leadership actions requiring coordination or follow-through.
  • Support special projects, operational improvement efforts, and front office initiatives as needed.
  • Build strong working relationships across teams and serve as a professional, responsive point of contact for stakeholders.
  • Serve as a reliable front office partner who helps leadership stay organized, informed, and prepared for evolving priorities and engagements.
  • Help create structure, visibility, and continuity across front office activities while maintaining professionalism and discretion in high-visibility environments.
  • Contribute to internal corporate initiatives and a collaborative team culture grounded in trust, teamwork, and mission success.

Requirements

  • US Citizen (the nature of our contract requires employees be US citizens)
  • Ability to obtain and maintain DHS suitability required; current preferred.
  • BA/BS degree preferred.
  • 3+ years of relevant professional experience supporting senior leadership, executive offices, or front office operations.
  • DHS and/or federal government experience preferred.
  • Exceptional organizational skills and attention to detail.
  • Strong written and verbal communication skills, including experience preparing materials for senior audiences.
  • Proven ability to manage multiple priorities and adapt quickly in fast-paced environments.
  • Strong interpersonal and collaboration skills with the ability to build trusted working relationships across teams and stakeholders.
  • Proficiency in Microsoft Office Suite, including Outlook, PowerPoint, Word, and Excel.
  • Ability to exercise professionalism, sound judgment, and discretion in sensitive or high-visibility environments.
  • Comfortable working onsite daily in a collaborative front office environment.

$68,000$78,000 USD
