This role is responsible for candidate submissions, recruitment administration, data management, onboarding support, and maintaining recruitment systems to help improve hiring efficiency and candidate experience.
This is an excellent opportunity for someone with strong attention to detail, excellent communication skills, and experience supporting recruitment teams in a fast-paced environment.
Responsibilities
~1 min read- Format and prepare professional, client-ready candidate resumes and profiles.
- Review resumes, interview notes, and candidate information to identify relevant skills, qualifications, and experience.
- Ensure candidate submissions are accurate, well-written, and professionally presented.
- Prepare candidate profiles for recruiter review within agreed timelines.
- Prioritize urgent submissions and client deadlines.
- Maintain accurate candidate and job records within the ATS and recruitment systems.
- Support job postings, document preparation, and recruitment workflows.
- Coordinate interview scheduling, confirmations, and follow-up communications.
- Monitor recruitment tasks, shared folders, and assigned workflows.
- Assist with onboarding documentation and compliance requirements.
- Escalate delays, missing information, or process issues that may impact recruitment timelines.
- Maintain accurate candidate records, including availability, work rights, salary expectations, and recruitment activity.
- Ensure data quality across recruitment platforms and databases.
- Support the creation and improvement of recruitment processes, templates, and documentation.
- Work closely with recruiters and stakeholders to support hiring activities.
- Contribute ideas for process improvements and automation opportunities.
- Provide flexible support across recruitment projects and teams as needed.
- Meet agreed service levels, productivity targets, and quality standards.
- Ensure compliance with company policies, privacy requirements, and recruitment procedures.
- Review and verify AI-generated content for accuracy and professionalism.
- Support continuous improvement initiatives within the recruitment function.
- Previous experience in recruitment administration, recruitment coordination, or high-volume recruitment support.
- Excellent written and verbal English communication skills.
- Strong attention to detail and organizational skills.
- Ability to manage multiple tasks and meet deadlines in a fast-paced environment.
- Experience working with ATS/CRM platforms, LinkedIn, job boards, Microsoft Office, and recruitment technology.
- Strong ability to analyze and summarize candidate information.
- Comfortable using AI-powered tools to improve productivity and efficiency.
- Ability to work independently while managing competing priorities.
Nice to Have

- Exposure to agency recruitment, labor hire, volume recruitment, or professional services recruitment.
- Familiarity with Australian recruitment practices and processes.
