About the Role
~1 min readWe are looking for a bilingual Assistant Property Manager to provide day-to-day support to a U.S.-based property management operation. You will work closely with an onsite Property Manager and serve as an important point of contact for tenants, vendors, and maintenance teams.
This is a highly collaborative and tenant-facing role. You will help keep property operations organized by responding to tenant questions, coordinating maintenance requests, preparing notices and documentation, following up with vendors, and handling general administrative tasks.
The ideal candidate has experience in property management, real estate, or a similar tenant/customer-facing environment, communicates professionally in both English and Spanish, and is comfortable working as an integrated member of a U.S.-based office team.
Responsibilities
~1 min read- Serve as a point of contact for tenants via phone and email.
- Respond to questions regarding units, buildings, notices, and property documentation.
- Receive and document tenant maintenance requests.
- Provide professional and timely follow-up on tenant questions and outstanding requests.
- Draft and send tenant notices, letters, and other routine communications in coordination with the Property Manager.
- Coordinate maintenance requests with internal maintenance teams and external vendors.
- Communicate work requirements, access details, and scheduling information.
- Track open maintenance items and follow up to ensure work is completed.
- Confirm completion of requested work and maintain accurate supporting documentation.
- Help keep the Property Manager informed of outstanding issues, deadlines, and follow-ups.
- Work closely with the onsite Property Manager on daily operational priorities.
- Upload and organize property-related documents and records.
- Send emails, answer calls, and provide general administrative support.
- Assist with documentation and paperwork related to completed vendor and maintenance work.
- Collect invoices associated with requested work and help move documentation through the appropriate internal process.
- Maintain organized records and ensure required documentation is complete and accessible.
Although this position is fully remote, you will work closely with an onsite team and should be comfortable operating as an extension of the physical office.
The successful candidate must:
- Be comfortable being on camera throughout the workday for internal collaboration and meetings.
- Maintain a private, quiet, and professional workspace.
- Have a professional background and reliable camera setup suitable for frequent video collaboration.
- Maintain professional attire and presentation during working hours.
- Have reliable high-speed internet and equipment capable of supporting video calls throughout the day.
- Have, or be willing to set up, a multi-screen workstation. A laptop plus at least one additional monitor is strongly recommended for efficiently managing calls, documentation, emails, and property management tasks simultaneously.
Requirements
~1 min read- Fluency in English and Spanish, both written and spoken.
- Previous experience in property management, real estate, tenant relations, or a closely related field strongly preferred.
- Experience communicating directly with customers, tenants, residents, or clients.
- Strong written communication skills with the ability to prepare professional emails, notices, and letters.
- Comfortable handling phone calls and communicating with tenants, vendors, and maintenance personnel.
- Strong organizational skills and ability to manage multiple open requests and follow-ups.
- High attention to detail when handling documentation, invoices, and property records.
- Comfortable learning and working with property management systems and other digital tools.
- Able to work independently while staying closely connected with an onsite team.
- Reliable and able to work consistently during U.S. Pacific Time business hours.
You do not need to be a senior Property Manager to succeed in this role. We are looking for someone who is professional, organized, responsive, and comfortable taking ownership of day-to-day follow-through.
