The purpose of this full-time remote role is to support the organizational growth and client management pipelines through comprehensive inbox management, risk data organization, outreach, and operational support. Sitting within a high-growth, technology-driven risk management firm that replaces traditional insurance brokerages with AI-supercharged systems, the successful candidate will work closely with a lean, collaborative team to manage communications, organize priorities, and track critical deliverables. Acting as an essential operational bridge between active client development and technical risk analysis, this position will collaborate hand-in-hand with internal underwriters to organize client risk files, flag missing exposure data, and accelerate the submission-to-quote lifecycle.

Underwriting & Sourcing Collaboration: Work hand-in-hand with internal underwriters to ensure prospect risk data, applications, and exposure metrics are complete and accurate prior to formal underwriting review.

Submission Preparation: Review client documentation (loss runs, statement of values, etc.) to extract relevant data points, helping streamline the pipeline for the underwriting team.

Inbox Management: Manage the Lead Risk Advisor's inbox, including prioritizing messages, organizing threads, and drafting thoughtful outreach and follow-up emails aligned with the organization's tone and communication standards.

Communication Handling: Handle high-volume email correspondence with prospects, insurance carriers, underwriters, and internal stakeholders.

Project Coordination: Coordinate and manage projects related to client onboarding and growth initiatives, ensuring deadlines, follow-ups, and risk compliance deliverables are met.

Data Integration: Maintain and update client risk data, inbox workflows, and task tracking inside HubSpot and proprietary internal systems.

Pipeline Support: Assist with setting up and executing email campaigns, outbound sequences, warm referral tracking, and growth KPI reporting.
Requirements

Underwriting Exposure: Direct professional exposure to or foundational knowledge of commercial insurance underwriting workflows, submission requirements, or risk documentation, along with a comfortable understanding of basic insurance terminology and functional understanding of commercial underwriting parameters.

Inbox Mastery: Strong experience in heavy inbox and email management, ideally supporting an executive, senior risk advisor, or underwriting leader.

Tech Proficiency: Familiarity with CRM tools (HubSpot preferred), LinkedIn sourcing, and modern digital workspaces, with a willingness to learn proprietary tech platforms.

Professional Background: Experience in high-volume executive support, insurance operations, or sales support; prior experience in sales/growth operations, insurance agency support, or commercial real estate/finance operations is a plus.

Fast-Paced Prioritization: Proven ability to manage multiple projects, timelines, and cross-functional requests while balancing Advisor priorities with Underwriter needs in a fast-paced environment.

Strong Communication: Excellent written communication skills, especially in drafting clear, professional client emails and translating technical risk notes.

Meticulous Organization: Highly detail-oriented and comfortable following structured, compliance-driven processes.

Collaborative Mindset: Ability to work closely and hand-in-hand within a lean, collaborative remote team environment.
