Salary Benchmarks: * South Africa: $1,200 – $1,500 USD/month

We are seeking a highly organized, trustworthy, and relentless Marketing & Operations Task Assistant to serve as the critical "right hand" and operational engine for our Founder (Colby).
This is a versatile, task-oriented execution role for a "Jack of all trades" who thrives on organization, systems, and closing administrative loops. You will take routine, time-consuming media, data, and administrative tasks off Colby's plate and execute them with flawless consistency.
Because you will be managing highly sensitive investor data, contact details, and private personal information, uncompromising trustworthiness, confidentiality, and a major attention to detail are absolute non-negotiables for this role.

Responsibilities
~1 min readYou will assist Colby in overseeing the post-production distribution pipeline for our podcast, newsletter, and social channels.. No prior mastery of these exact systems is required—we are happy to train a fast learner—but you will be utilizing:
- Newsletter Assembly (Beehiiv): Take raw content, talking points, or draft copy from Colby each week and format them into a polished, subscriber-ready newsletter.
- Website Management (WordPress): Upload newsletters, blog posts, and media links directly to our web platform, ensuring all formatting, links, and SEO metadata are correct.
- Podcast Management (Megaphone & YouTube): Format, finalize, and upload podcast metadata, audio files, and show notes to our hosting and publishing platforms.
- Social Scheduling (Hootsuite): Take finalized media assets and schedule them systematically across our social channels.
- Short-Form Video Extraction (OpusClips): Take long-form video episodes and use AI-driven clipping tools to pull highly engaging vertical highlights for social media.
- Light Graphic Layouts (Canva): Perform simple graphic edits, such as adding clean text over images or formatting clean cover thumbnails.
- Spreadsheet Hygiene: Pull analytical data (views, clicks, newsletter open rates, or investment metrics) from our dashboards and compile them into clean, structured, and easy-to-read Google Sheets or Excel spreadsheets.
- General Project Tracking: Maintain our team task boards, ensuring all active projects are organized and that upcoming deadlines are flagged.
- Operational Troubleshooting: Identify broken links, incorrect uploads, or scheduling sync errors on our sites and fix them immediately.
- Personal Logistics: Handle basic administrative tasks to keep the founder focused, including scheduling personal appointments, coordinating with doctors, and organizing travel logistics.
- Calendar Coordination: Manage incoming calendar requests to protect Colby's time for high-value strategic work.
- Finding the Work: We want someone who is innovative. When your daily queue is cleared, you should actively look for inefficiencies in our platforms, research better tools, and make suggestions to streamline our business.
- AI Tool Implementation: We expect you to actively leverage generative AI models (such as ChatGPT, Gemini, Grok, or Claude) to draft routine copy, clean up raw notes, and speed up your daily output.
- Proven Administrative Depth: 4+ years of experience in virtual assistance, executive support, or operations coordination. (Prior experience supporting US-based founders, startups, or investment firms is a massive plus).
- AI Tool User: You must have hands-on experience using one of more generative AI models (ChatGPT, Gemini, Grok, or Claude) to assist with daily workflows. If you are an active, enthusiastic user of Claude, we will be absolutely thrilled.
- Tech-Native Agility: Highly comfortable navigating Google Workspace (Gmail, Docs, Sheets, Slides) and eager to learn our core tool stack.
- Meticulous English: Flawless written English is required. You must write with warmth, professional clarity, and perfect grammar.
- Uncompromising Integrity: You maintain the highest standard of discretion and confidentiality when handling people's personal information and sensitive corporate data.
- Type A Attention to Detail: You spot the tiny error in a spreadsheet or the broken hyperlink in a draft newsletter before it goes live.
- Radical Autonomy: You thrive in an asynchronous environment. You don't need a manager checking in on you hourly; you find pride in owning your list and delivering flawless execution.
