About The Company: We are a premium homemade ice cream brand serving the Phoenix Metro area with 3 mobile ice cream trucks. An Arizona franchise — a growing national brand — we craft small-batch, made-from-scratch ice cream and bring it directly to our customers through events, private bookings, festivals, fundraisers, and community activations. We’re a mobile-first operation with no brick-and-mortar locations yet, which means events are the heartbeat of our business. We serve corporate clients, schools, sports organizations, and families across the Valley, and we’re growing fast.

About the Role :We are looking for a driven and highly organized Outbound Events & Partnerships Coordinator to join our team. This is a proactive, outreach-focused role responsible for identifying, applying to, and securing a wide range of event and partnership opportunities — including community events, festivals, corporate functions, school fundraisers, sports events, and more. You will be the engine behind our event pipeline — researching opportunities, submitting applications, building relationships, and keeping our 3 trucks busy across the Phoenix Metro area.

Key Responsibilities;
Outbound Outreach & Applications

  • Research and identify community events, festivals, fairs, corporate functions, school fundraisers, sports events, and other partnership opportunities throughout the Phoenix
  • Metro area and beyond
  • Proactively reach out to event organizers, corporate companies, schools, and sports organizations via email, phone, LinkedIn, and other channels
  • Complete and submit vendor, sponsor, or participant applications on behalf of the company
  • Follow up persistently and professionally with contacts to confirm status and move opportunities forward
  • Build and maintain a pipeline of prospective events and partners using a CRM tool
  • Source and secure events, festivals, fundraisers, sponsorships, and community activations for our truck fleet
  • Track application deadlines, event dates, and requirements to ensure nothing falls through the cracks
  • Coordinate confirmed event details with the internal team to ensure smooth execution Track event performance and report on outcomes

Relationship Management

  • Build long-term relationships with event organizers, community leaders, corporate contacts, and school/sports organization representatives
  • Serve as the primary point of contact for event partners throughout the outreach and confirmation process
  • Represent the company professionally in all external communications

Reporting & Administration

  • Maintain accurate records of all outreach activity, applications submitted, and secured partnerships in the CRM
  • Provide regular updates to leadership on pipeline status, confirmed events, and upcoming deadlines
  • Identify trends and recommend new event types, markets, or outreach strategies Qualifications

Required

  • 2+ years of experience in outbound outreach, event coordination, partnerships, business development, or a related field
  • Excellent written and verbal English communication skills
  • Strong organizational skills with the ability to manage multiple applications and deadlines simultaneously
  • Self-motivated with the ability to work independently in a remote environment Comfortable with cold outreach — email, phone, and LinkedIn
  • Available to work Monday–Friday, 8:00 AM – 5:00 PM MST (Arizona time)

Preferred

  • Experience applying to community events, festivals, fairs, or vendor markets Familiarity with schools, nonprofits, youth sports organizations, or corporate sponsors
  • Familiarity with CRM platforms (e.g., HubSpot, Salesforce, GoHighLevel)
  • Background in fundraising, sponsorship sales, or community outreach

What Success Looks Like

In your first 90 days, you will:
