Service Estimator & Coordinator
Location: Fully remote.

Working Hours: Overlap with U.S. Eastern business hours required. Company operates 8:00 AM – 4:30 PM ET; this role supports live service operations and field technicians during that window.

We are a U.S.-based, family-owned industrial cleaning equipment distributor with more than 50 years in the market, serving business and municipal customers across the Mid-Atlantic and Midwest. We sell, rent, and service a full line of floor scrubbers, floor sweepers, street sweepers, industrial vacuums, and utility vehicles, and we back that equipment with aftermarket parts, on-site and in-shop service, rentals, and facility supplies. Our customers are primarily other businesses, so accuracy, responsiveness, and follow-through in every transaction directly protect our reputation and our cash flow.
About the Role
~1 min readOur service department is the backbone of our aftermarket business — repairs, preventative maintenance, parts, and on-site technician support. Today, our service advisors are absorbing quote creation, quote follow-up, and technician scheduling on top of their core responsibilities, which caps how much service work the team can move through.
This role exists to take estimating and service coordination off the advisors' plates. Think of it as a service-admin-plus-estimating position: you build and follow up on quotes, help schedule and support technicians in the field, and keep the administrative side of service running so the advisors and techs can focus on the work only they can do. It is an entry-level-friendly role with clear room to grow as you learn our equipment and processes.
Responsibilities

- →Prepare accurate quotes and estimates for parts, service, and repair work.
- →Send quotes to customers and follow up consistently until they are approved, revised, or closed.
- →Keep quote records and pricing information organized and up to date.
Service Coordination
- →Assist with scheduling technicians and coordinating on-site and in-shop service jobs.
- →Help sequence work so field visits and shop time are used efficiently.
Field Technician Support
- →Support technicians in the field with documentation, parts lookups, and job follow-through.
- →Act as an administrative point of contact so techs can stay focused on the equipment.
Administrative & Customer Support
- →Maintain accurate records in service and scheduling systems.
- →Communicate with customers on quote status, scheduling, and service updates in a professional, responsive way.
Requirements
~1 min read- 1+ year in estimating, quoting, service coordination, dispatch, or administrative support (entry-level candidates with the right aptitude welcome).
- Strong written and verbal English — this role is customer-facing and follows up directly.
- Comfort learning and working in quoting, CRM, and service/scheduling software.
- Strong organization and the ability to juggle multiple quotes and schedules at once.
- Available and responsive during U.S. Eastern business hours (8:00 AM – 4:30 PM ET).
- Background or exposure in manufacturing, maintenance, facilities, construction, civil engineering, or industrial/equipment services.
- Experience in a field-service, dispatch, or service-department environment.
- U.S. education or prior work with U.S. companies (common and valued in this candidate pool).
