We are a fast-growing, high-impact organization looking for a proactive, tech-savvy, and detail-obsessed Talent Acquisition (TA) Support Coordinator to serve as the critical "engine room" of our recruitment operations.
This is a dedicated, specialized support role focused entirely on candidate pipeline building, active sourcing, system operations, and backend recruitment coordination. You will own the beginning of our talent funnel and ensure a seamless, high-velocity journey for candidates and hiring managers alike.
In this role, you will run advanced sourcing campaigns in our AI discovery tool (Juicebox), monitor incoming applications inside ADP, publish optimized job ads with designated compensation bands, manage complex calendar scheduling, and draft official offer letters. We need a "Type A" coordinator who is highly fluent in modern AI tools, moves with urgency, and takes pride in pristine pipeline tracking and backend coordination.
Responsibilities
~1 min read- AI Sourcing Execution: Design, launch, and optimize active candidate sourcing campaigns within our AI talent discovery platform, Juicebox, to identify and target high-potential candidate pools.
- Database Curation & List Building: Meticulously build and curate candidate lists inside Juicebox and our CRM/ATS (ADP), ensuring all candidate records, tags, and profiles are 100% accurate and up-to-date.
- Applicant Flow Monitoring: Actively monitor ADP for incoming applications to ensure we maintain instant "speed-to-lead" contact with qualified inbound prospects.
- Front-Line Intake: Act as the first touchpoint for applicants, reaching out immediately to qualified individuals to initiate interest and establish next steps.
- Complex Calendar Coordination: Schedule interviews between international candidates and US-based hiring managers across multiple timezones, ensuring invitations are properly formatted and pre-interview prep materials are delivered.
- Pipeline Momentum: Follow up with candidates and hiring managers to resolve scheduling conflicts, chase outstanding feedback, and keep the pipeline moving without delay.
- Ad Optimization: Own the administrative posting of our open roles across various job boards, ensuring absolute formatting accuracy and the correct incorporation of approved salary/compensation bands.
- ADP System Administration: Maintain clean data hygiene in ADP and other recruitment platforms. Assist leadership by pulling standard recruitment pipeline and sourcing reports from ADP Workforce Now (prior experience is a major plus, but we are open to training).
- Offer Letter Administration: Support our business units and recruiting leaders (assisting Jennifer) by drafting and preparing highly accurate, professional offer letters for final sign-off.
- Ad-Hoc TA Operations Support: Happily jump in where needed to execute specialized tasks, system migrations, or support projects directly related to Talent Acquisition operations.
- Recruitment Support Foundation: 2–4+ years of dedicated experience in recruitment coordination, talent sourcing, or backend recruitment operations.
- Sourcing Tool Literacy: Practical familiarity with active sourcing platforms (LinkedIn Recruiter, Juicebox, or similar AI-driven search platforms).
- ATS/CRM Savvy: Experience navigating applicant tracking databases. Experience with ADP / ADP Workforce Now (specifically for application tracking or pulling reports) is highly preferred, but we are open to training.
- AI Fluency: You are "AI-native" and actively use LLM tools (ChatGPT, Claude, etc.) to multiply your copy drafting speed and optimize administrative tasks.
- Elite English: Flawless written and verbal English skills. You write with polished, warm professionalism and can confidently represent our brand to US-based corporate talent and stakeholders.
- Extreme Attention to Detail: You take pride in "perfect" data. You easily catch mismatched dates, spelling errors in offer letters, and calendar conflicts before they cause bottlenecks.
- Urgency & Responsiveness: You operate under the belief that "speed-to-talent" is a major competitive advantage. You follow up aggressively and close candidate communication loops quickly.
