- Tier 1: Other UNDP/UNCDF/UNV staff holding permanent (PA) and fixed-term (FTA) appointments
- Tier 2: UNDP/UNCDF/UNV staff holding temporary appointments (TA), personnel on regular PSA contracts, and Expert and Specialist UN Volunteers
- Tier 3 or no tier indicated: All other contract types from UNDP/UNCDF/UNV and other agencies, and other external candidates

UNDP Bangladesh’s Democratic Governance programming aims to accelerate effective governance so that all citizens can openly and peacefully contribute to Bangladesh’s development story. It focuses on making the country inclusive, capable, rule-based accountable, and transparent by 1) strengthening effective and accountable governance that responds to the need of people in addressing equitable and improved access to justice and rule of law, 2) strengthening civil society and promoting participatory governance to ensure that the voice of all citizens are heard, and 3) enhancing civic, political and economic empowerment of women and youth.
UNDP Bangladesh is implementing an Initiation Plan (IP) to enhance the capabilities of interim authorities, national institutions, and civil society in Bangladesh to drive democratic reforms and foster inclusive development. It houses the early phase of UNDP support for democratic and institutional reforms in Bangladesh and the advancement and repositioning of ongoing governance programming. Central to this initiative is a commitment to restoring trust among stakeholders, engaging systematically with young people, civil society and citizens, and ensuring risk-informed and collaborative approaches. This IP will also serve as a foundational framework to consolidate and align UNDP’s democratic governance programming in Bangladesh, and for transitioning to a longer-term portfolio of strategic interventions thereafter.
IP-SARG is looking to recruit a Project Assistant (Documentation and Reporting) who will work closely with the Project Manager to support reporting, documentation, knowledge management, communication content development, and evidence compilation across selected IP-SARG outputs.
Responsibilities

- →Maintain a centralized digital archive of project documents, reports, event materials, minutes, concept notes, visibility products, and evidence files.
- →Ensure systematic documentation of activities under key reform areas.
- →Support preparation of knowledge products, including success stories, case studies, event summaries, lessons learned notes, and thematic documentation.
- →Support formatting, branding, version control, and quality assurance of reports and knowledge products.
II. Reporting Support
- →Support drafting, editing, and finalization of quarterly, annual, donor, and activity reports under IP-SARG in line with UNDP quality standards.
- →Compile and organize reporting inputs from relevant project outputs.
- →Support preparation of briefing notes, talking points, summaries, presentations, factsheets, and result snapshots for internal and external use.
- →Maintain reporting calendars and follow up with output teams to ensure timely submission of scheduled and ad hoc reporting products.
III. Communication and Visibility Support
- →Act as the communication focal point of the project, working closely with the UNDP Country Office Communication Team
- →Support dissemination and publication of project results, stories, and knowledge products across UNDP platforms, archives, and social media channels
- →Provide creative coverage of project activities, including events, consultations, campaigns, and project interventions through photos, short write-ups, and content development
- Work with the M&E team to support implementation of the results framework, monitoring framework, and tracking of targets and indicators
- Coordinate with the procurement team to support preparation of Terms of Reference (ToR), vendor onboarding, and other procurement-related processes
- Provide support in facilitating procurement processes, including coordination with vendors and follow-up on deliverables
- Undertake any other ad hoc tasks assigned by the project team to ensure smooth implementation of project activities
The incumbent performs other duties within their functional profile as deemed necessary for the efficient functioning of the Office and the Organization.
4. Institutional Arrangement
The Project Assistant (Documentation and Reporting) will work under the overall supervision of Md. Mazedul Islam, Project Manager, IP-SARG. The Project Manager will be responsible for the service evaluation of the Project Assistant (Documentation and Reporting).

Requirements

- University Degree (Bachelor’s degree)in Public Administration, Law, Development Studies, International Relations, or a related discipline will be given due consideration but it’s not a requirement.
- Minimum 5 years of experience (with Secondary education) or 2 years of experience (with Bachelor’s degree) in reporting, documentation and knowledge management in development intervention.
- 1 year of proven experience in reporting and documentation in reform interventions.
- Experience in preparing PowerPoint presentations, briefs, and knowledge products.
- Strong skills in documentation management, filing, and record keeping.
- Good written communication skills in English and Bangla.
- Experience working with UN agencies, development partners, or international organizations
- Experience supporting governance, justice sector, public sector reform, or development projects
- Experience in documenting events, consultations, workshops, and field activities
- Familiarity with results reporting, donor reporting, and evidence compilation
