The Production Coordinator is responsible for the coordination and end-to-end delivery of all production phases across client jobs. Working remotely and in close collaboration with Production Coordinators, this role ensures jobs are executed accurately, on time, within approved budgets, and to agreed quality standards. The Production Coordinator supports — rather than owns — supplier relationships, working through and alongside NZ-based Staff to deliver an exceptional client experience.

Receive, review, and action all job requests submitted by NZ Based Production Managers

Coordinate the full production lifecycle from proof approval through to final delivery

Support NZ Based Production Managers in establishing and monitoring production timelines with NZ-based suppliers
- →
Monitor and track job KPIs including delivery deadlines, margin adherence, quality, and compliance

Identify risks early and proactively recommend solutions in consultation with the relevant NZ Based Production Managers

Escalate any potential margin impact, scope variation, timeline risk, or supplier performance concerns prior to action being taken

Ensure no production changes, re-runs, or commercial variations are approved without NZ Based Production Managers authorisation

Maintain and uphold company quality control standards

Ensure accurate and timely job reporting and documentation
Ensure job documentation, approvals, and production records are accurately stored and traceable
Support data integrity across CRM and production platforms
Provide production-related administrative and coordination support
Contribute to continuous improvement of production systems and workflows
Undertake additional operational tasks as required to support business priorities
Minimum 2 years' experience in production coordination (preferably promotional products, apparel, or print)
Demonstrated ability to manage multiple jobs simultaneously in a deadline-driven environment
Strong working knowledge of Microsoft 365 (Outlook, Teams, Excel, Word)
Confidence in learning and mastering CRM and production management systems
Familiarity with tools such as Cin7, WorkflowMax (Bluerock), is advantageous but not essential
Experience with supplier portals or product sourcing platforms is a plus
Strong planning and organisational capability
Exceptional attention to detail
Proactive problem identification and resolution
Commercial awareness and margin sensitivity
Clear and professional written and verbal communication in English
High level of integrity and confidentiality
Ability to work independently and with discipline in a remote environment
Calm and solutions-focused under pressure
Reliable availability during agreed NZ overlap hours
