The salary for this position is $53,000 - $72,000.
Housing Forward has a flexible PTO policy for all full-time employees. The office is officially closed on New Year's Day, Memorial Day, Independence Day, Labor Day, Thanksgiving, Day after Thanksgiving, Christmas Eve, & Christmas Day. Housing Forward has MLK Jr., Juneteenth, and Election Day as Days of Service.

Under the direction of the Grants and Contracts Manager, the Grants Coordinator assists with the day‐to‐day operations of grant reviews and contracts. 

Under the supervision of the Grants and Contracts Manager, the Grants and Contracts Coordinator will perform the following responsibilities.  

  • Provide overview of grant management software and grant reimbursement process during partner orientation meetings (during pre-award and award phases) 

  • Provide assistance to service providers who need help with Amplifund.

  • First and second level review of subrecipient documentation submissions 

  • Assist GCM with subrecipients to ensure compliance with contract terms, policies and procedures and provide any necessary technical assistance 

  • Assist GCM with contract and budget preparation for sub-recipients  

  • Communicate information and ideas clearly, as well as concisely, both written and oral 

  • Manage the internal processes for the Federal, State, and local grants and various programs administration including working with the GCM to ensure all documents are submitted 

  • Review subrecipient payment requests 

  • Communicate with subrecipients to advise on submissions and if any additional documentation is needed  

  • Pull reports as needed for internal staff and external request 

  • Data entry and tracking of subrecipient spending  

  • Monitoring and assessment of subrecipients per the annual monitoring schedule which may include on site visits or virtual review of required documentation   

  • Review assurances and certifications. 

  • Assist with the coordination of subrecipients contracts. Ensure all contracts are fully executed, accurately filed in agency contract systems, and monitored for compliance with renewal and expiration requirements. 

  • Create subrecipients profiles in grant management software. 

  • Support subrecipients/subcontractors with gathering the correct backup documentation prior to submitting documents to the Finance staff for invoicing/ billing to funders. 

  • Reviews subrecipient/subcontractor agreements and other relevant compliance documents to ensure: 

  • Participate in audit activities, as appropriate 

  • Perform other duties as required or directed

  • Housing Forward considers normal hours of operation Monday – Friday from 8:00am-5:00pm. Some night and weekend meetings might be required to meet the need of partner agencies or to represent Housing Forward at community meetings.

  • Employees are able to work both remotely and in the office. Current guidelines state that employees must work at least 3 days per week in the office, but this is subject to change. Scheduling should be approved by the supervisor.
