The Board of Certified Safety Professionals (BCSP), where great culture, great people and great values come together to make workplaces around the world safer, is seeking a highly organized, service-oriented Office Manager to oversee the day-to-day office environment, building operations, vendor coordination, and workplace planning for our headquarters. Since 1969, the Board of Certified Safety Professionals (BCSP) has been setting and certifying the technical competency criteria for safety, health, and environmental practitioners. Headquartered in Indianapolis, Indiana, BCSP is a not-for-profit corporation recognized as a leader in high-quality, accredited credentialing.

This role combines hands-on facilities coordination with administrative support, meeting and event readiness, space planning, and cross-functional collaboration to ensure a professional, efficient, safe, and welcoming workplace for employees, guests, vendors, and external partners. The ideal candidate is comfortable working independently, and able to manage multiple priorities while responding calmly and effectively to routine and unexpected office or facility needs.

This is a full-time position located in Indianapolis Indiana. Not remote. Regular on-site presence is required to monitor building conditions, coordinate office activities, support meetings and events, and work directly with vendors and contractors. Occasional after-hours availability may be required for urgent building, vendor, event, or security needs.

Responsibilities

  • Oversee daily office and building operations to ensure BCSP’s workspace is professional, functional, organized, safe, and welcoming.
  • Serve as a primary point of contact for staff and external partners regarding office space, building needs, facility issues, security monitoring, and vendor coordination.
  • Lead office space planning, including workspace assignments, meeting room layouts, event setups, storage needs, furniture placement, and future space utilization recommendations.
  • Coordinate office activities and hosted events, including space, seating, technology needs, equipment, supplies, signage, catering logistics, visitor experience, and room readiness.
  • Coordinate with vendors, service providers, contractors, inspectors, and building professionals for maintenance, repairs, installations, inspections, projects, and ongoing service needs.
  • Monitor and troubleshoot office and building conditions and issues, escalate appropriately, and help ensure timely resolution with minimal oversight.
  • Provide administrative support for scheduling, document preparation, incoming/outgoing mail, packages, printing, internal communications, office supplies, and group travel logistics.
  • Support onboarding and offboarding activities, including workspace setup, badge/access coordination, office readiness, and coordination with IT, HR, and department leaders.

Requirements

  • 3+ years of experience in office management, facilities coordination, property support, or a related role.
  • Associate’s or Bachelor’s degree preferred in Business Administration, Facilities Management, Office Management, or a related field.
  • Working knowledge of office building systems and mechanicals, including HVAC, plumbing, electrical, security, access control, fire/life safety, utilities, and general facility infrastructure preferred.
  • Strong organizational, multitasking, follow-through, and problem-solving skills with keen attention to detail.
  • Proficiency in Microsoft Office Suite and ability to quickly learn workplace systems, online tools, access control platforms, and office management technology.
  • Facilities management credentials, certifications, or related professional development are a plus.
  • Ability to regularly lift, move, unpack, stock, and organize office supplies, food and beverage items, materials, and related equipment.
