We are looking for a hands-on and team-oriented Office Manager to join our Berlin team!
Based in our Berlin office and working closely with the global People & Impact team, you will be the backbone of our workplace - keeping things running smoothly, creating a great environment for our Brevonauts, and making sure no detail is missed.
Own the day-to-day office operations: kitchen upkeep, supply management (including regular orders and ensuring the office always feels welcoming and well-stocked
Manage all incoming post and office-related emails daily, and handle invoice scanning, organisation, and processing via Spendesk together with our finance team
Track and report on office budgets, including event, supply, and travel expenses on a weekly basis
Coordinate and execute employee events and initiatives: from weekly office lunches, monthly social events (Drinking Green, Morning Green) and well-being initiatives to large-scale projects like our Summer and Winter Parties
Support the onboarding and offboarding experience for Berlin-based employees: desk setup, welcome gifts, office tours, and key handovers
Oversee Health & Safety compliance, including coordination of safety inspections, fire safety training, first aid training, and evacuation exercises and in close collaboration with our external Safety Partners (ASA)
Lead ISO and ASA audit preparation as needed, and contribute to sustainability initiatives such as carbon footprint tracking
Manage and quality-control the cleaning team, including supply procurement and regular quality checks
Maintain and continuously improve office processes, documenting procedures and driving operational consistency
Serve as the first point of contact for all employee requests and office-related matters, resolving day-to-day issues with a proactive and solution-oriented approach
Communicate regularly with the Berlin team via Slack and other internal channels, sharing office news, event updates, and relevant information
Collaborate with global Office Managers across Brevo's locations on shared initiatives and projects
You are hands-on and operationally strong - you enjoy both the detail work and the bigger picture
You are fluent in German and English (both required for day-to-day work)
You have at least 2 years of experience in office management or a similar role
You are organised, reliable, and comfortable managing multiple recurring responsibilities alongside ad-hoc requests
You are a natural communicator and enjoy building relationships across teams
You are proactive, solution-oriented, and not easily thrown off by the unexpected
