The Administrative Assistant, Center for Autism and Neurodiversity, will provide administrative and clerical support for the CAN program. This position will also assist with the tasks related to funding received by the Office of Vocational Rehabilitation (OVR). The Administrative Assistant is often the first staff member prospective students, and their families encounter and contribute to creating a welcoming, responsive, and professional experience for all visitors and program participants.

The Administrative Assistant is responsible for managing administrative processes, maintaining records, coordinating events and meetings, preparing reports, reconciling expenses, and supporting the daily operations of the department. The successful candidate will be highly organized, detail-oriented, customer-service focused, and capable of managing multiple priorities in a fast-paced environment.

  • Manage all correspondence related to prospective students and families.
  • Maintain accurate records of student’s status with the Office of Vocational Rehabilitation (OVR) and communicate regularly with OVR.
  • Act as liaison between CAN, OVR, and Drexel’s Financial Aid office to ensure students’ accounts are accurate and up to date.
  • Create twice-quarterly, quarterly and annual reports for OVR.
  • Establish and maintain files, logs, and other tracking systems for a variety of information, projects, and events; may update website or use social media.
  • Reconcile expenses for the Office.
  • Organize and maintain schedules and make arrangements/preparations as needed, including preparing or providing agendas, meeting minutes, equipment, location, information packets, travel, and follow up action items.
  • Perform clerical tasks such as answering and directing phone calls and ordering office supplies.
  • Submit work orders to the Facilities Department as needed.
  • Plan and convene on and off-campus activities such as the Autism at Work: University Series events, Faculty and Staff Education Series events and working employee breakfasts with the Steinbright Career Development Center (SCDC). This includes reserving space, making all related arrangements for speakers, arranging catering, etc. 
  • Other duties as assigned

Requirements

  • Minimum of a HS Diploma or GED and 5 years of administrative experience.
  • Proficiency with various computer software applications, including Microsoft Office Suite (Word, Excel, Outlook).
  • Ability to exercise sound judgment and maintain confidentiality.
  • Demonstrated ability to work collaboratively with various departments.
  • Strong organization and attention to detail skills.
  • Ability to work independently/autonomously under limited supervision.
  • Cultural awareness and competency demonstrated by working with and/or understanding of individuals of diverse identities, including those with different levels of academic preparation, and varying abilities.
  • Strong interpersonal, written, and verbal communications skills.
  • Bachelor's Degree.
  • Typically sitting at a desk/table
  • Typically bending, crouching, stooping
  • Lifting demands ≤ 25lbs

Additional Information
This position is classified as Non-Exempt, grade I. Compensation for this grade ranges from $21.71 - $32.57 per hour. Please note that the offered rate for this position will vary based on the successful candidate’s qualifications and experience, department budget, and an internal equity review.
