As an Executive Assistant, you will deliver seamless, high caliber support to senior leadership within a dynamic, fast-paced organization. We are seeking a highly organized and proactive professional with exceptional multitasking capabilities to support our executive leadership team based in Amsterdam, including the CEO, CFO and EVP. 

In this role, you will play a pivotal part in managing complex calendars, coordinating high-priority meetings, and ensuring the seamless execution of day-to-day operations at the executive level. The ideal candidate is detail oriented and adaptable, thrives in a fast-paced, collaborative environment, and consistently demonstrates sound judgment and discretion when handling sensitive and confidential information.

  • Coordinate complex, multi-time-zone calendars for executive and leadership team members based in Europe, proactively resolving conflicts and aligning scheduling with business priorities
  • Manage and prioritize scheduling requests based on urgency, stakeholder seniority, and strategic importance, ensuring leadership time is allocated effectively
  • Plan and coordinate end-to-end international travel, including itineraries, accommodations, and logistics, for client meetings, conferences, and other business-critical events
  • Lead logistics and coordination for board meetings, investor meetings, and leadership or department offsites, including agenda preparation, materials distribution, and timely follow-up on action items
  • Track key deadlines, deliverables, and cross-functional follow-ups to keep critical initiatives on schedule
  • Serve as a key point of contact between internal teams and external stakeholders (clients, vendors, partners), ensuring clear, professional, and timely communication
  • Oversee administrative operations, including expense reporting, procurement requests, and document management, maintaining accuracy and organization
  • 10+ years of experience in a similar role supporting senior leaders and executives, with a proven ability to manage multiple competing priorities in a fast-paced, dynamic environment
  • Excellent organizational skills and attention to detail, with a demonstrated ability to anticipate needs and take initiative
  • Strong communication and interpersonal skills, with the ability to build trust and work effectively across teams and cultures
  • A proactive, adaptable mindset, with sound judgment in handling sensitive and confidential information
  • Proficiency in Google Workspace, with experience using collaboration tools such as Slack and Google Meet
  • Comfortable using AI productivity tools (such as ChatGPT, Gemini or similar) to improve efficiency, draft communications, summarise information, support research and streamline administrative workflows
  • Ability to work independently and exercise good judgment, while contributing positively to a collaborative team environment
  • Flexibility to occasionally support outside regular office hours (e.g. when leaders are travelling or key meetings fall outside standard hours), and fluent written and verbal communication skills in both English and Dutch.
