EAII Advisors, Evidence Action’s technical partner in India, supports state governments in delivering evidence-based public health programs, including safe drinking water initiatives and school and Anganwadi-based National Deworming Day and iron and folic acid supplementation. Operating across 10 states, EAII Advisors provides technical assistance to ministries of health, education, water, and women and child development, reducing health burdens in impoverished communities and improving the long-term wellbeing of children and families.

The Executive Assistant will report to the Principal Manager, Strategy and Special Projects, providing high-level administrative support to Senior Executives and the Country Director. This role requires exceptional multitasking abilities, attention to detail, and the capability to handle sensitive information. The ideal candidate will be proactive, organized, and skilled in handling all important executive tasks.
The Country Director's week spans senior government counterparts, funders, Evidence Action's global leadership across multiple time zones, and state-level teams. This role makes that possible: protecting leadership time, ensuring they walk into every engagement fully prepared, and closing the loop on what follows.
Responsibilities

- →Own and actively manage the Country Director's calendar, resolving competing priorities and protecting time for strategic and deep work.
- →Coordinate multi-stakeholder meetings involving senior government officials, funders, partners, and Evidence Action's global leadership across time zones.
- →Ensure the Director is prepared for every engagement, with agendas, briefing notes, and background materials circulated in advance.
Travel and Logistics
- →Plan and book domestic and international travel end to end: flights, accommodation, visas, and ground transport.
- →Build practical, well-sequenced field itineraries in coordination with state teams, including frequent travel to state capitals and program sites.
- →Prepare and submit travel expense claims and reimbursements accurately and on time, in line with organizational policy.
Communication and Correspondence
- →Draft, review, and edit correspondence, official letters to government counterparts, presentations, and reports on behalf of the Director.
- →Screen and prioritize incoming calls, emails, and requests; respond, route, or escalate as appropriate.
- →Act as a liaison between the Count Director and internal teams, state offices, government stakeholders, and external partners.
Meeting Support and Follow-Through
- →Take clear minutes in leadership, partner, and government meetings.
- →Track action items to closure with named owners and deadlines, following up proactively rather than waiting to be asked.
- →Maintain organized, easily retrievable records of key documents, agreements, approvals, and correspondence.
Confidentiality and Judgment
- →Handle sensitive personnel, financial, and government-related information with complete discretion.
- →Exercise sound judgment in the Director's absence on what requires immediate escalation and what can wait.
Requirements

- Bachelor's degree in Business Administration, Management, or a related field
- 3+ years of experience in executive support, including at least 2 years supporting a senior leader (Country Director, CXO, Partner, or equivalent)
- Strong written and verbal communication skills in English and Hindi
- Proficiency in Google Workspace and Microsoft Office Suite, and comfort with collaboration tools such as Slack and Asana
- Demonstrated ability to manage a complex calendar and competing priorities with minimal supervision
- Exceptional attention to detail and reliable follow-through on every commitment
- Proven discretion in handling confidential and sensitive information
- Willingness to travel within India as needed, and to be reachable for occasional urgent matters outside standard hours
Desirable
- Experience supporting leadership in a non-profit, international development, public health, or government-facing organization
- Experience coordinating with government departments, ministries, or public officials
- Working knowledge of project management tools and methodologies
- Comfort using AI tools to draft, summarize, and organize work
- Experience working with globally distributed teams across time zones
