Position Summary

We are seeking a professional, reliable, and service-oriented Receptionist to be the first point of contact for our firm. The successful candidate is a team player known for resourcefulness, discretion, strong organizational skills, and ability to work independently while meeting deadlines. This role is ideal for someone who takes pride in maintaining a professional office environment and enjoys contributing to the smooth day-to-day operations.

 

Primary Responsibilities 

  • Answer, screen, and appropriately forward incoming calls; take accurate and detailed messages
  • Maintain a professional, welcoming atmosphere at the reception area
  • Greet and attend to visitors
  • Schedule, coordinate, and maintain a log of meetings for two conference rooms
  • Receive, sort, and distribute incoming mail
  • Prepare outgoing mail, including stamping envelopes and mailbox delivery
  • Collect, collate, and mail monthly client statements
  • Prepare monthly and quarterly mailings using Microsoft Mail Merge
  • Conduct basic internet research and print selected reports as requested
  • Scan and prepare cheques for deposit
  • Monitor and reconcile deposits
  • Book and manage courier services and liaise with building management as required
  • Order and manage office stationery and supplies
  • Work with Microsoft Office and in-house software

 

Qualifications

  • 1–3 years of office or receptionist experience
  • Excellent telephone etiquette and professional demeanor
  • Professional appearance and strong customer-service orientation
  • Fully bilingual in English and French
  • Strong computer skills, particularly Microsoft Office
  • Fast learner with the ability to adapt to new systems and procedures
  • Excellent written and verbal communication skills
  • Strong interpersonal skills and ability to work well with colleagues and clients
  • Highly organized, with strong attention to detail and ability to multitask
  • Ability to take initiative, prioritize workload, and work autonomously
  • Solution-oriented with good problem-solving skills

 

Requirements

  • Consent to credit and criminal background checks
  • Availability to work fully on-site from our offices
  • Working hours 9:00 am to 5:00 pm (1 hour lunch).

 

 

This is an exempt position. The annualized base pay range for this role is $45,000.00 CAD.  Actual base pay could vary based on factors including but not limited to experience, subject matter expertise, geographic location where work will be performed, and the applicant's skill set.  The base pay is just one component of the total compensation package for employees.  Other rewards may include an annual cash bonus and a comprehensive benefits package, including but not limited to medical, dental, vision, life insurance, and 401(k). Please note that the job title is subject to change based on the selected candidate’s experience and education.

  • Répondre aux appels entrants, les filtrer et les acheminer de façon appropriée; prendre des messages précis et détaillés
  • Maintenir une atmosphère professionnelle et accueillante à la réception
  • Accueillir les visiteurs et répondre à leurs besoins
  • Planifier, coordonner et tenir à jour un registre des réunions pour deux salles de conférence
  • Recevoir, trier et distribuer le courrier entrant
  • Préparer le courrier sortant, y compris l’affranchissement des enveloppes et le dépôt au courrier
  • Recueillir, assembler et envoyer les relevés mensuels aux clients
  • Préparer les envois mensuels et trimestriels à l’aide de la fonction Publipostage de Microsoft
  • Effectuer des recherches de base sur Internet et imprimer certains rapports sur demande
  • Numériser et préparer les chèques pour dépôt
  • Assurer le suivi et le rapprochement des dépôts
  • Réserver et gérer les services de messagerie/courrier ainsi que collaborer avec la gestion de l’immeuble au besoin
  • Commander et gérer les fournitures de bureau et la papeterie
  • Travailler avec Microsoft Office et les logiciels internes de l’entreprise

Requirements

  • 1 à 3 ans d’expérience en administration de bureau ou à titre de réceptionniste
  • Excellente étiquette téléphonique et attitude professionnelle
  • Présentation professionnelle et forte orientation service à la clientèle
  • Bilinguisme complet en français et en anglais
  • Solides compétences informatiques, particulièrement avec Microsoft Office
  • Capacité d’apprentissage rapide et facilité d’adaptation à de nouveaux systèmes et procédures
  • Excellentes compétences en communication écrite et verbale
  • Excellentes aptitudes interpersonnelles et capacité à bien collaborer avec collègues et clients
  • Grande capacité d’organisation, souci du détail et aptitude à gérer plusieurs tâches simultanément
  • Capacité à faire preuve d’initiative, à établir les priorités et à travailler de façon autonome
  • Approche orientée vers les solutions et bonnes habiletés en résolution de problèmes
  • Consentement à une vérification de crédit et des antécédents judiciaires
  • Disponibilité pour travailler entièrement en présentiel à nos bureaux
  • Horaire de travail : de 9 h 00 à 17 h 00 (1 heure de dîner)

Il s’agit d’un poste exempté. La rémunération annuelle de base pour ce poste est de 45 000,00 $ CA. Le salaire de base réel peut varier en fonction de plusieurs facteurs, notamment l’expérience, l’expertise du domaine, le lieu géographique où le travail sera effectué ainsi que les compétences du candidat.

Le salaire de base ne représente qu’une composante de la rémunération globale offerte aux employés. D’autres avantages peuvent inclure une prime annuelle en argent ainsi qu’un programme complet d’avantages sociaux, incluant notamment l’assurance médicale, dentaire, visuelle, l’assurance vie ainsi qu’un régime d’épargne-retraite 401(k).
