Serve as the primary point of contact for incoming callers, answering promptly and maintaining a warm, professional telephone presence.

Transfer calls to the appropriate team member or department and direct prospective clients to the intake team when appropriate.

Return calls and follow up with existing clients and referral sources in a timely and professional manner.

Gather relevant initial information from callers and ensure information is communicated accurately to the appropriate team.

Schedule appointments and maintain accurate calendar information using digital scheduling tools.

Manage multiple incoming calls during high-volume periods while remaining calm, organized, and attentive.

Use Lawmatics and PracticePanther to support client-related and call-related workflows.

Use RingCentral for telephone communications and Google email, Calendar, chat, and video tools for daily collaboration.

Use Microsoft Office and Fireflies as required for assigned responsibilities.

Maintain dependable attendance and remain consistently available throughout scheduled working hours.

Follow established procedures and contribute to a positive, reliable client experience through thoughtful communication and timely follow-up.
Requirements

At least 1 year of experience in a client-facing position, such as customer service, reception, sales, or a related field.

Advanced or native-level English proficiency, both written and spoken, with clear, confident verbal communication.

Bilingual verbal communication skills.

A warm, friendly, empathetic, and professional telephone manner.

Strong active-listening skills and the ability to understand conversational context and adapt communication appropriately.

Demonstrated ability to manage multiple calls and competing priorities without becoming overwhelmed.
