Responsibilities

  • Greet and respond to visitors and callers, routing to correct person and/or location or providing specific departmental information and general college-wide information
  • Perform secretarial tasks: produce both simple and complex documents using various word processing and spreadsheet packages; establish and maintain files; schedule meetings and appointments; take and transcribe meeting minutes; sort and distribute mail; process college forms
  • Attend faculty meetings and take thorough, accurate minutes. Maintain record. of minutes in the department office per Ohio Board of Nursing rules.
  • Compose replies to routine correspondence; research and compile reports and prepare summaries as requested.
  • Generate, process, and/or forward college paperwork as required relying upon accepted policies and practices; determine documents requiring supervisor's review and/or signature.
  • May update and maintain computerized databases by performing data entry, adding and deleting files as needed and generating simplistic computer reports.  Use Banner and Argos to track/validate nursing student course work, GPA; check student data for certificate of completion for OBN; create labels for mailings.
  • May be assigned responsibility for planning and implementing special events such as pinning ceremony, receptions, dinners, or open houses
  • May provide support to standing committees or ad hoc task forces by scheduling meetings; preparing agendas; recording, transcribing, and distributing minutes; maintaining master files; etc.
  • Provide secretarial support for special projects; compile information; and produce reports.
  • May monitor budget-reporting areas apprising supervisor of variances and discrepancies.
  • Maintain adequate quantities of office supplies and materials.
  • Perform related duties as assigned

Requirements

  • Associate's degree in office administration or another field complemented by training in Microsoft Word, Excel, PowerPoint, etc.   
  • Three years of secretarial work experience in positions that developed the skills need to: organize and prioritize work; multi-task; establish and maintain simple and complex documents and reports; work effectively with a variety of constituents to ensure timely receipt of information and compliance with program deadline
  • Knowledge of current office practices, procedures, and equipment.  Initiative to develop processes that will facilitate efficient Nursing program office operations.
  • Possess excellent communication skills: written and verbal.
  • Ability to work independently; establish and maintain effective interpersonal relationships.
  • Light, sit sometimes.  Walk and stand sometimes, lift occasionally.
  • These are full-time or part-time, continuing or non-continuing staff positions.
  • This position is at grade 6A of the staff salary schedule.  
  • Please note: The final offer for the successful candidate is targeted to fall within the minimum to the mid-point of the salary range but will be based upon an assessment of internal equity, the unit's available budget, and the candidate's qualifications in relation to the minimum and/or preferred job requirement(s).
