Niyam is seeking an Office Assistant to join our team in support of our work. Position is hybrid, with 1-2 days onsite at our Fairfax, VA office and 3 days remote. The Office Assistant will provide administrative support for office support. Reporting directly to the Human Resources Business Partner, the Office Assistant provides various office assistance on-site and remote. The Office Assistant must be creative and enjoy working within an entrepreneurial environment. The ideal individual will have the ability to exercise good judgment in a diversity of situations, with strong written and verbal communication, administrative, and organizational skills.
Role and Responsibilities
- Maintain office organization and ensure common areas, conference rooms, and kitchens are stocked and presentable.
- Monitor and manage inventory of office supplies (e.g., printer toner, paper, markers, beverages, snacks) and place orders as needed.
- Coordinate deliveries, mail distribution, and vendor interactions.
- Run local errands related to office needs (supplies, refreshments, equipment pick-up, etc.).
- Assist with troubleshooting or coordinating maintenance for office equipment.
- Assist in planning and coordinating internal events, team meetings, and office gatherings.
- Track attendance and logistics using spreadsheets or tracking tools.
- Coordinate meeting room setup, materials, refreshments, and scheduling.
- Support offsite or virtual event coordination as needed.
- Provide administrative support to HR or leadership teams as needed.
- Assist with compiling data and creating reports
- Support onboarding logistics (workspace setup, materials, coordination).
- Assist with internal communications or coordination tasks.
Qualifications and Education Requirements
- High school diploma or equivalent.
- Strong organizational skills and attention to detail.
- Basic proficiency in Microsoft Office (Excel, Word, Outlook).
- Ability to manage multiple tasks and shifting priorities.
- Strong communication and interpersonal skills
- Transportation to report on-site at least one+ day(s) per week
Preferred Skills
- 1+ year of office, administrative, or coordination experience.
- Experience working with spreadsheets and simple reporting.
