CLASSIFICATION SPECIFICATION


 ADMINISTRATIVE ASSISTANT – QUALITY IMPROVEMENT 



 SCOPE: Manages the administrative functions for the Director, Quality Improvement.


SUPERVISION: Works under supervision of the Director, Quality Improvement.


EXAMPLES OF DUTIES: (These are examples of the types of duties that may be performed. Additional duties may be added.)


1. Organizes and manages work flow and provides administrative support for other Quality Improvement department staff as directed by the assigned Director, including, but not limited to, coordinating schedules, and scheduling meetings and appointments. 

2. Pulls data, and creates and composes reports, memos, graphs, databases and e-mails using a variety of computer resources i.e. MS Office, SANDIS, NGS etc. May perform confidential employee relations type assignments/activities, as required.


3. Maintains oversight and tracks various departmental projects, including compiling necessary data for projects and ensures that deadlines are met. Prepares technical documents, i.e. spreadsheets, databases and any other types of complex reports. 


4. Works independently and within a team on special and ongoing projects. May act as a project leader for special projects, at the request of the Director, which may include, but not limited to planning, coordinating, and organizing activities, as needed. 


5. Designs, organizes and maintains the department’s recordkeeping system.


6. Coordinates, schedules and facilitates agency and interagency meetings, presentations, appointments, etc. 


7. Provides back-up support for other administrative staff, as needed.


8. May provide verbal and/or written translation services, as appropriate (This is applicable if the employee is assigned into a bilingual position).


EMPLOYMENT GUIDELINES:

 

Knowledge: Advanced administrative office practices and procedures. 


Skills: Must have a high level of customer service and interpersonal skills to handle sensitive and confidential employee issues. Must continually demonstrate poise, tact and diplomacy.


 Must be able to interact and communicate with individuals at all levels of the organization and the community.


 Must have intermediate to expert knowledge of a variety of software applications, MS Office – Word, Excel, Access and PowerPoint and other types of databases i.e. SANDIS and NGS


 Attention to detail in composing, typing and proofreading materials.


 Establish priorities and meet deadlines. Must be able to work in a fast-paced environment and demonstrate the ability to multi-task and handle multiple competing tasks and projects. 


 Bilingual Spanish preferred, but may not be required.


Education: High school graduation and four years of related experience or training; equivalent combination of education and experience.

 

Compensation

This position is a non - exempt. Regular Salary: $29.19 - $41.27 per hour.

 

Base Pay Rate / Salary Range Information

The actual amount offered within the posted salary/pay rate range will depend on a variety of factors, including degree obtained/education, experience, skills and abilities, and other relevant job-related factors. The lower end of salary range applies to candidates who meet minimum qualifications or have limited years of relevant experience; the higher end of range will apply to seasoned candidates with considerable years of direct relevant experience.
