Salary Range: USD1200 to USD1500 depending on experience
Client Overview: Our client is a fully remote entrepreneur and HubSpot consultant, supported by a dynamic team consisting of a designer, video editor, and copywriter. He is looking to hire a full-time Executive Assistant to help manage his day-to-day operations. This includes overseeing his calendar, email inbox, administrative tasks, and supporting various content and business initiatives. The ideal candidate will take ownership of projects, work independently, and help streamline business functions to optimize growth.
Duties and Responsibilities:
- Content Research & Strategy:
- Research potential content opportunities that align with the entrepreneur’s personal brand and business goals.
- Identify trends, relevant topics, and engagement opportunities across various platforms.

- Content Project Management:
- Coordinate content development with the designer, video editor, and copywriter.
- Manage timelines, expectations, and deliverables for each project.
- Ensure smooth communication between all team members to maintain alignment with content goals.

- Social Media & Marketing:
- Create, schedule, and publish social media posts across multiple platforms.
- Develop content calendars and work with the team to ensure timely and impactful posts.
- Monitor social media engagement and provide insights on potential growth strategies.

- Podcast Guest Coordination:
- Research and find potential podcast guests that align with the entrepreneur’s brand.
- Coordinate the logistics for podcast guest appearances, including scheduling, communication, and any necessary follow-ups.

- Event Coordination (Online & Offline):
- Help organize virtual events such as webinars, live sessions, or Q&A events.
- Manage event logistics including scheduling, invitations, and follow-ups, ensuring events run smoothly.
- Assist with organizing offline events where applicable (e.g., planning events remotely, managing guest lists).

- Administrative Support:
- Manage the entrepreneur’s email inbox, prioritizing and responding to emails on his behalf.
- Prepare and organize documents for meetings and appointments.
- Attend meetings, take notes, and manage action items as required.
- Assist with general administrative tasks, such as processing and uploading invoices, tracking finances, and maintaining records.

- Take full ownership of assigned projects and tasks, ensuring they are completed efficiently and on time.
- Proactively identify areas for optimization, offering suggestions for process improvements and growth opportunities.

- Coordinate the entrepreneur's daily calendar, scheduling meetings, appointments, and ensuring everything is well-organized.
- Make travel arrangements and reservations, keeping an eye on efficiency and budget.

Minimum Requirements:
- Experience: A proven track record of 5+ years as an Executive Assistant or in a similar role.
- Skills & Expertise:
- Strong organizational and time management skills.
- Ability to handle sensitive information with discretion and professionalism.
- Excellent written and verbal communication skills.
- High attention to detail and ability to prioritize tasks effectively.
- Proficient in Google Workspace (Docs, Sheets, Drive, etc.).
- Experience with HubSpot, Basecamp, Loom is required.
- Familiarity with 1Password and MacOS is a plus.
- Strong organizational and time management skills.
