We are seeking a dynamic and adaptable professional to serve as a Contact Center Coordinator and Executive Assistant to two Directors within a growing and evolving organization. This individual will play a key role in facilitating daily operations within the contact center while also providing executive-level support across multiple departments. The ideal candidate will be proactive, adaptable, and comfortable managing a variety of responsibilities, from coordinating administrative tasks to supporting the Directors with travel arrangements, scheduling, and ad-hoc projects.
Responsibilities

Support day-to-day contact center operations by assisting with administrative tasks, including team scheduling, resource allocation, and workflow coordination.

Assist with recruitment activities, including posting job descriptions, screening candidates, and supporting onboarding processes.

Help to create, curate, and update internal communication materials for the team.

Manage and coordinate complex calendars for two Directors, ensuring efficient use of time and seamless scheduling.

Facilitate quarterly travel arrangements, including booking flights, hotels, and ground transportation.

Assist with the preparation of materials for meetings, presentations, and other executive communications.

Handle confidential information with discretion and maintain professionalism in all interactions.

Develop and refine communication materials, including emails, reports, presentations (especially PowerPoint), and other documentation.

Ensure messaging is clear, concise, and professional across various mediums.

Be a liaison between the Directors and other departments, ensuring effective communication and follow-through.

Take ownership of ad-hoc projects that may arise as part of the organization’s ongoing growth and transition.

Flexibly shift between departmental needs as required and handle tasks that may not fall into clearly defined categories.

Manage multiple priorities simultaneously without compromising quality or attention to detail.

Play an integral role in supporting the company’s transition by maintaining a positive attitude and willingness to adjust to changing needs.

Contribute to process improvements and initiatives aimed at enhancing team efficiency and communication.

Requirements

Language Proficiency: C1 level English (both written and verbal) with exceptional communication skills.

Experience: 2+ years of experience in administrative roles, preferably with a contact center, project coordination, or executive assistant background.

Adaptability: Ability to work across different departments and handle a variety of tasks, with a flexible and proactive attitude.

Problem-Solving: Capable of thinking on your feet and addressing challenges without being easily flustered.

Technical Skills: Proficient in Microsoft Office Suite, especially PowerPoint and Excel; ability to learn new tools as needed.

Presentation Skills: Comfortable creating and delivering clear, visually appealing presentations to diverse audiences.

Time Management: Strong organizational skills, with the ability to prioritize tasks and manage competing demands.
