About the company
Our client is a fast-growing Canadian bridal and fashion group operating multiple business divisions across North America. The organization includes a wholesale bridal gown brand that designs and manufactures for global retailers, as well as a growing portfolio of company-owned bridal boutiques across Canada, including Vancouver, Calgary, Winnipeg, Ottawa, and an upcoming Montreal location.
In addition to the bridal business, the company also operates a diversity-focused modeling agency and is launching a direct-to-consumer summer dress brand. With approximately 40 employees and annual revenues of $5–6 million, the company is scaling rapidly and sold more than 3,500 dresses last year.
About the Role
The client is also hiring a proactive and highly organized Executive Assistant / Operations Coordinator to support the founder across multiple businesses and projects. This role will serve as a combination of Executive Assistant, administrative coordinator, and light customer support representative.
The ideal candidate will help create operational leverage for the founder by managing scheduling, inboxes, reservations, customer communication, and ongoing administrative projects. The client is looking for someone with excellent judgment, strong communication skills, and the ability to operate confidently in ambiguous and fast-moving environments. Brand awareness, professionalism, and proactive problem-solving are extremely important for this role
Key Responsibilities
- Manage calendars, scheduling, and appointments
- Coordinate travel bookings and reservations
- Assist with inbox management and email triage
- Support operational and administrative projects
- Provide light customer service support across brand inboxes
- Monitor and respond to customer inquiries professionally
- Conduct online research and administrative coordination
- Assist with organization across multiple brands and business ventures
- Help maintain structure and organization for the founder’s day-to-day operations
- Coordinate tasks and follow-ups across various stakeholders
Requirements
- Previous Executive Assistant, Personal Assistant, or Operations Coordinator experience
- Strong communication and organizational skills
- Ability to multitask across multiple projects and priorities
- Strong judgment and professionalism
- Comfortable working independently
- Customer service experience preferred
- Experience managing inboxes and calendars
- Strong written English communication
- Ability to work PST business hours
- Long-term mindset and proactive attitude
