About the Role
The Scheduling Coordinator is responsible for managing caregiver schedules, handling on-call needs, and supporting the operations team with key administrative tasks. This role requires strong English communication, at least two years of scheduling or staffing experience, and someone who thrives working independently..
The position will mainly focus on resolving staffing issues on call which will take up majority of the shift, with a blend of real-time scheduling triage, caregiver support, and ongoing administrative tasks such as timesheet management, compliance follow-ups, and pre-authorization checks in the down-time..
Key Responsibilities
- Manage caregiver schedules, ensuring efficient, timely coverage for all client visits
- Prioritize urgent staffing needs based on real-time updates and shifting caseloads
Coordinate directly with caregivers and clients to resolve last-minute issues or schedule conflicts - Handle on-call duties, answering all incoming calls and resolving staffing or timesheet issues promptly
- Add and update all schedules in the home care scheduling systems
- Assist caregivers with clock-in/clock-out issues and chase missing timesheets
- Confirm completed shifts inside the scheduling system
- Conduct ongoing pre-authorization checks and update internal tracking
- Manage caregiver compliance follow-ups, including expirations, renewals, and case eligibility
- Support the operations team with general administrative tasks during slower scheduling periods
- Communicate clearly with caregivers who may have strong accents, as well as with clients who expect excellent English
Qualifications & Experience
- Minimum 2 years of experience in home care scheduling, staffing coordination, or similar operational role
- Excellent spoken and written English (non-negotiable for caregiver and client communication)
- Spanish is an advantage but not required
- Strong organisational skills and attention to detail
- Confident working independently, with high accountability and strong follow-through
- Comfortable using scheduling systems; experience with scheduling software is a plus but not required
- Thrives in roles that mix real-time response work with ongoing administrative duties
- Suited for someone looking for stability and long-term commitment

Additional Notes
- On-call work will be the main focus and must be covered; responsiveness is essential
- Training will be hands-on, with the coordinator working directly alongside the Scheduling Director in real time
- Ideal candidates are mature, independent workers who prefer stability and long-term commitment
- Latin America is preferred due to timezone alignment, English proficiency, and cultural fit
