About the Role: The Virtual Assistant / Administrative Support will provide day-to-day administrative and operational support to multiple executives, helping manage schedules, coordinate travel, organize expenses, and maintain internal systems. This role is ideal for someone who is highly organized, proactive, and comfortable managing multiple priorities in a startup environment. As the company grows, there will be opportunities to expand responsibilities and take on additional operational support.
Key Responsibilities
Calendar & Meeting Coordination

Manage calendars for multiple executives

Schedule internal and external meetings

Coordinate appointments and resolve scheduling conflicts
Travel & Expense Management

Arrange business travel, itineraries, and accommodations

Prepare, organize, and submit expense reports

Support expense management through Expensify
Administrative Support

Assist with general administrative and back-office tasks

Coordinate follow-ups and ensure action items are completed

Provide day-to-day support as business priorities evolve
CRM & Systems Management

Maintain and update Salesforce records

Organize Outlook calendars and email workflows

Support the use of internal tools and administrative systems
Qualifications & Skills
Hard Skills
-
2+ years of experience as a Virtual Assistant, Executive Assistant, or Administrative Assistant
-
Strong experience with calendar management, meeting coordination, and travel planning
-
Proficiency with Outlook, Salesforce, Expensify, and Microsoft Office or Google Workspace
-
Strong written and verbal English communication skills

Ability to support multiple executives and manage competing priorities
Nice to Have

Experience supporting founders or senior leadership teams

Experience in startup or high-growth environments

Familiarity with travel booking and expense management processes

Ability to quickly learn new systems and tools
