We are a premier, high-volume real estate media company specializing in top-tier architectural photography, cinematic video tours, 3D virtual spaces, and aerial drone imaging. We partner with leading real estate agents and brokerages to elevate their property listings and marketing portfolios.
Because our daily production schedule moves at a rapid pace, we are seeking a highly organized, tech-savvy Virtual Assistant to manage the operational backbone of our business. This role is crucial for maintaining seamless logistics between our creative field team and our high-profile clients.
Responsibilities
~1 min read- →Client Communication & Support: Act as the primary point of contact for real estate agents booking shoots, answering inquiries promptly, and providing exceptional customer service via email and messaging channels.
- →Calendar & Schedule Management: Coordinate and optimize the daily shoot schedules for our field photographers and videographers, ensuring geographic efficiency and accurate time-slot allocation.
- →Platform & Workflow Management: Utilize and move fluidly between multiple software platforms (including booking systems, CRM tools, cloud storage, and routing software) to input data, track project statuses, and update client files.
- →Asset Tracking & Delivery: Assist in monitoring the pipeline of media from production to the editing team, ensuring final digital assets are organized and delivered to clients within our strict turnaround windows.
- →Detail-Oriented Administration: Maintain flawless data entry regarding property addresses, specific agent requests, and invoicing details to prevent any operational friction.
Requirements

- Proven Customer Service Background: 2+ years of prior experience in a client-facing support or administrative role, preferably within a fast-paced environment.
- Logistical & Scheduling Acumen: Comfortable managing complex calendars, balancing changing appointment times, and handling time-sensitive updates on the fly.
- Tech-Fluency: Highly adaptable to multiple software platforms and processes. Experience with real estate booking tools (e.g., HDPhotoHub, Aryeo) or standard CRM and project management software is a major plus.
- Obsessive Attention to Detail: You naturally catch minor errors, double-check addresses and times, and take pride in running an organized system with zero loose ends.
