As the company continues to grow, they are seeking a Virtual Assistant to support the coaching team by managing administrative responsibilities, organizing business data, and preparing materials that allow coaches to focus on delivering value to clients.
The Virtual Assistant will provide administrative, organizational, and analytical support to the coaching team. This role is responsible for handling day-to-day administrative tasks, maintaining CRM data, preparing agendas and reports, and assisting with data analysis to support client coaching initiatives.
The ideal candidate is organized, detail-oriented, proactive, and comfortable working with CRM systems and business data. This individual should enjoy improving processes, managing multiple priorities, and supporting a fast-paced remote team.
Responsibilities
~1 min read- Provide day-to-day administrative support to the coaching team
- Manage calendars, meeting preparation, and scheduling as needed
- Organize digital files, documents, and business records
- Prepare meeting agendas and supporting materials for coaching sessions
- Assist with general operational and administrative projects
- Maintain accurate client records within CRM platforms
- Update and organize customer information
- Generate reports and dashboards from CRM data
- Monitor CRM data quality and identify inconsistencies
- Support ongoing CRM maintenance and process improvements
- Analyze business and sales data from CRM systems
- Prepare reports and summaries to support coaching discussions
- Organize performance metrics into clear, actionable insights
- Assist with tracking client progress and operational performance
- Support data-driven decision making across the coaching team
- Coordinate follow-up tasks and action items after meetings
- Assist with internal process documentation
- Help improve workflow efficiency through organization and automation
- Support special projects as assigned
Requirements
~1 min read- 2–5 years of experience as a Virtual Assistant, Administrative Assistant, Operations Assistant, or similar role
- Strong organizational and multitasking skills
- Excellent written and verbal English communication skills
- Strong attention to detail and accuracy
- Experience working with CRM platforms
- Ability to analyze and organize business data
- Strong time management skills with the ability to prioritize multiple tasks
- Self-motivated and comfortable working independently in a remote environment
- Experience using:
- Pipedrive
- HubSpot
- Previous experience supporting business consultants, coaches, or sales teams
- Strong Microsoft Excel or Google Sheets skills
- Experience preparing reports, dashboards, and meeting materials
- Process improvement and workflow optimization experience
