The Facilities Specialist supports day-to-day facilities operations and independently evaluates needs, priorities, alternatives, and risks to make timely decisions within assigned authority. The role coordinates service requests; selects and manages vendors; oversees vendor performance; manages preventive maintenance programs, work order tracking, and documentation; and supports CAPEX project evaluation, approval recommendations, execution, and closeout. This position helps keep building and grounds maintenance, repairs, inspections, MRO needs, and facility projects organized, cost-effective, compliant, and progressing in a timely manner.
The position works closely with operations, facilities, supply chain, finance, vendors, contractors, and site leadership to communicate status, maintain accurate records, support compliance and safety requirements, and control costs. The role exercises independent judgment in vendor selection, scope and quote evaluation, vendor performance actions, preventive maintenance priorities, and CAPEX project recommendations and management, escalating matters that exceed established authority or present significant operational, financial, or safety risk.
Responsibilities
~2 min read- →Independently evaluate facility service needs and exercise discretion in selecting, directing, and managing vendors and service providers within delegated authority
- →Source and evaluate qualified vendors; develop and compare scopes, quotes, pricing, service levels, safety records, and capabilities; recommend or make vendor selections within delegated authority; schedule and manage onsite work; verify completion; and maintain supporting service and procurement documentation.
- →Establish vendor performance expectations and monitor quality, cost, responsiveness, schedule adherence, safety, and contractual compliance; document results, address deficiencies, implement corrective actions, and recommend vendor retention, development, or replacement.
- →Manage preventive maintenance programs and facility projects
- →Develop, implement, and continuously improve preventive maintenance plans for facility assets; define frequencies and procedures; coordinate labor, parts, vendors, and shutdown requirements; monitor completion and effectiveness; analyze recurring failures; and adjust the program based on asset condition, risk, cost, and operational needs.
- →Evaluate facility CAPEX needs and alternatives; develop scopes, business justification, budgets, schedules, and risk assessments; recommend investments and make decisions within delegated authority; and manage approved projects from planning and vendor selection through execution, commissioning, financial tracking, documentation, and closeout.
- →Oversee CMMS data governance and work order controls.
- →Establish and monitor standards for work order creation, prioritization, documentation, and closure; evaluate preventive maintenance schedules and backlog trends; assess the accuracy and effectiveness of equipment, vendor, and facilities data; and develop reports, recommendations, and process improvements that support resource planning, operational reliability, and management decision-making.
- →Maintain facilities files, purchase request support, invoices, inspection records, safety documentation, and related administrative items to help ensure compliance, readiness, and accurate recordkeeping.
- →Communicate facility needs, work order status, vendor updates, and project progress to Operations, Facilities, Supply Chain, and site leadership as needed.
- →Independently assess facility issues, competing priorities, lifecycle costs, operational impacts, safety and compliance risks, and available solutions; make sound decisions within assigned authority; document the rationale; and escalate only when approvals, risk level, or business impact require leadership involvement.
Requirements
~1 min read- Five plus years of experience supporting facilities operations, maintenance coordination, vendor scheduling, contractor follow-up, or related administrative support activities.
- Ability to organize service requests, quotes, invoices, inspection records, work orders, and facility documentation with accuracy and attention to detail.
- Working knowledge of CMMS systems, work order tracking, preventive maintenance schedules, or willingness and ability to learn related systems and processes.
- Strong communication and follow-up skills with the ability to coordinate between internal teams, vendors, contractors, and site leadership.
- Demonstrated ability to manage preventive maintenance programs and facility projects, including vendor selection and performance management, scope development, budgeting, scheduling, safety and compliance coordination, and completion verification.
- Strong analytical, financial, and reporting skills, with the ability to independently evaluate data, quotes, lifecycle costs, asset condition, operational impact, and risk; develop CAPEX business cases and recommendations; make well-supported decisions within delegated authority; and escalate matters appropriately.
- Program Execution and Operational Accountability
- Able to coordinate facility requests, vendor activity, work orders, and open items through completion or proper escalation.
- Governance, Controls, and Data Integrity
- Maintains accurate records, trackers, CMMS updates, service documentation, and related facility files.
- Vendor strategy and performance
- Evaluates vendor capability, cost, quality, service, safety, and risk; makes or supports objective selection decisions; sets expectations; reviews performance; and drives corrective action and accountability.
- Preventive maintenance program & CAPEX project management
- Owns preventive maintenance program effectiveness and manages CAPEX initiatives using disciplined scope, cost, schedule, risk, vendor, commissioning, and closeout controls.
- Independent evaluation, decision-quality & accountability
- Use facts, professional judgment, lifecycle cost, operational impact, and risk to make timely, documented decisions within assigned authority and remains accountable for outcomes.
- Customer service
- Responds to facility needs with urgency, supports issue resolution, and escalates risks or delays appropriately.
- Frequent standing, walking, sitting, handling, climbing, crawling, squatting, kneeling, and bending.
- Ability to lift/carry up to 20 lbs frequently; occasional lifting up to 25 lbs.
- Must be able to wear PPE as required.
- Ability to wear Personal Protective Equipment (PPE) as required by the position, location, and/or customer
