About the Opportunity 

UJA Federation of Greater Toronto is seeking a highly polished, proactive, and exceptionally organized Executive Assistant to provide sophisticated executive-level support to the Senior Vice President, Philanthropic Leadership Group (PLG). 

 

This is a highly visible and fast-paced role that serves as an extension of the SVP’s office and supports a dynamic philanthropic portfolio involving donors, volunteers, senior leadership, and key community stakeholders. 

 

The successful candidate will bring exceptional judgment, professionalism, discretion, emotional intelligence, and organizational excellence. The role requires the ability to manage multiple competing priorities, navigate sensitive and confidential matters, and build strong working relationships across the organization and community. 

 

Key Responsibilities 

  • Manage the SVP’s complex calendar, scheduling, travel arrangements, meeting coordination, and follow-up activities.
  • Provide high-level executive and administrative support within a fast-paced and evolving environment.
  • Coordinate and support donor meetings, stewardship activities, volunteer engagement, and executive-level interactions.
  • Draft, edit, proofread, and manage executive correspondence, presentations, reports, donor communications, briefing notes, and meeting materials.
  • Handle highly confidential information related to donors, volunteers, staff, leadership discussions, and organizational priorities with professionalism and discretion.
  • Serve as a key point of contact for donors, volunteers, senior leadership, and community stakeholders.
  • Support departmental operations, project coordination, reporting, and cross-functional initiatives.
  • Assisting in coordinating meetings, events, logistics, agendas, presentations, and follow-up actions. 
  • Build strong collaborative relationships across departments and work closely with executive support professionals throughout the organization.
  • Anticipate needs, proactively identify priorities, and support the efficient operation of the SVP’s office. 

 

Qualifications & Experience 

  •  Postsecondary education in Business Administration, Communications, Office Administration, Nonprofit Management, or a related field is preferred. 
  • Minimum 5–7 years of experience providing direct executive-level support to senior organizational leaders in a fast-paced, high-volume environment.
  • Passionate advocate and visible champion of UJA’s mission, values, and goals, inspiring others through action and unwavering commitment to advancing our shared purpose. 
  •  Proven experience managing highly sensitive and confidential executive, donor, personnel, and organizational information with exceptional discretion and judgment. 
  • Exceptional written and verbal communication skills with strong attention to detail.
  • Demonstrated ability to independently manage competing priorities, exercise sound judgment, and anticipate executive needs. 
  • Strong relationship-management and interpersonal skills with the ability to work effectively with senior stakeholders, donors, volunteers, and cross-functional teams.
  • Advanced organizational, coordination, project management, and follow-through skills.
  • Advanced proficiency with Microsoft Office Suite, including Outlook, Word, PowerPoint, and Excel. 
  • Experience working with CRM and fundraising databases such as Salesforce is considered an asset.
  • Experience supporting senior leadership within fundraising, philanthropy, nonprofit, or community-based organizations is considered a strong asset.
  •  Ability to maintain professionalism, diplomacy, and composure within a high-profile and confidential environment. 


*This is a full-time permanent position, Salary Range: $65,000-75,000  annually, based on experience.
