Infusion Scheduling Coordinator

The Infusion Scheduling Coordinator is responsible for planning and coordinating chemo/infusion treatments to ensure patients are scheduled accurately and efficiently. This role is vital in improving patient access by balancing patient load and optimizing resource utilization. Work is performed under the general direction of the Site Manager.

Responsibilities

  • Schedule chemo/infusion treatments following established protocols.
  • Complete infusion scheduling requests and communicate updates to patients.
  • Use scheduling software to enhance infusion resource utilization and patient flow.
  • Collaborate with Infusion Team, Physician Nurses, and Medical Assistants to coordinate schedule changes.
  • Verify schedule accuracy; manage chemo scrubbing reports.
  • Train and orient new employees as assigned.
  • Coordinate pharmacy orders with physicians/nurses.
  • Manage phone and email communication related to scheduling.
  • Maintain scheduling calendars and reschedule appointments promptly.
  • Collaborate with internal departments (Phone Room, Medical Records, Insurance, Front Desk, Pharmacy) for record verification.
  • Maintain professional conduct, attendance, and compliance with clinic safety procedures.
  • Participate in staff meetings and team-based operations.
  • Perform other duties as assigned.

Requirements

  • High school diploma or GED required.
  • Six months of related experience and/or training preferred.
  • Equivalent combinations of education and experience considered.
  • Strong organizational and follow-up capabilities.
  • Excellent verbal and written communication.
  • Effective problem-solving and time-management skills.
  • Ability to manage multiple priorities in a fast-paced setting.
  • Proficient in Microsoft Word, email, and related applications.
  • Team-oriented mindset with ability to build strong internal relationships.
  • Willingness to travel to satellite offices as needed.
  • Physical ability to lift up to 50 lbs and work in a clinical environment.
