Overview: Quinnipiac University's Learning Commons invites applications for the position of Administrative Assistant.  This position will perform perform clerical duties, staff and student assistance, to support the Office of Student Accessibility, located within the Learning Commons.

Responsibilities:
  • Maintain phone coverage, greet visitors and students, take messages, relay information and answer questions. Handle high public contact efficiently and professionally. Have knowledge of Quinnipiac procedures, OSA and Learning Commons operations, answer questions within scope of knowledge and authority.
  • Review and route incoming mail for appropriate distribution and action.
  • Use Quinnipiac’s Accommodate system fully and effectively, including monitoring activity from students, staff, and faculty. Retrieve data and reports as needed.
  • Gather and enter data for the preparation of various reports/documents.
  • Organize and maintain a filing system for all pertinent department/program data so that it is readily accessible.
  • Support student testing process and student accommodation process as directed.
  • Arrange meetings as required, notify participants, and arrange for all materials, food, facilities, media equipment, budgets, travel, and support functions. Handle travel for administrative staff.
  • Use University software to perform duties such as correspondence, meeting minutes, newsletter, spreadsheets, reports, grants, forms and memos. Proofread/edit work for accuracy, format, spelling, punctuation and construction. Assure timely completion of all material.
  • Assist with the organization, preparation and ordering for receptions, open houses, information sessions, conferences and other University events.
  • Supervise and coordinate schedules for student workers.
  • Provide coverage for other clerical staff in the OSA and Learning Commons as requested.
  • Other clerical duties as assigned.
Education Requirements:
  • High School Diploma or GED required
Qualifications:
  • Proven ability to manage high-volume phone, email, and in‑person inquiries while maintaining professionalism, accuracy, and customer service excellence.
  • Strong interpersonal and communication skills with the ability to greet visitors, respond to student and faculty inquiries, relay information clearly, and uphold a welcoming environment.
  • Highly capable in Microsoft Office Suite (Word, Excel, Outlook), spreadsheets, data entry, and other software used to support academic and administrative functions.
  • Skilled in planning and coordinating meetings, preparing agendas, arranging facilities, and supporting all required resources.
  • Demonstrated ability to work with diverse populations and a commitment to diversity and inclusion

  • Please note this is a Grade 6 position in the Clerical & Technical Union.
  • This position offers a starting rate of $27.69 per hour for 35 hours per week. Educational differentials include an additional $0.35 per hour for an associate’s degree and $0.75 per hour for a bachelor’s degree.
  • This position requires the successful completion of a Microsoft Office skills test, proofreading test, and background check.
