    Pay Range: $21.29 - $27.00 per hour (Non-bargaining Pay Plan, B21, Step 1-13)
    Hiring Range: $21.29 - $22.60 per hour (Non-bargaining Pay Plan, B21, Step 1-4)

    There is one Office Specialist I opening with the Yakima County EMS Office. This position is responsible for providing administrative support for Emergency Medical Services.

    Note: This is a Non-Bargaining Unit position.

    This recruitment may be used to fill future vacancies that occur within 90 days of the closing of this position. (This excludes Yakima County Sheriff's Office and Department of Corrections)

    Responsibilities:

    • Responsible for scheduling Ongoing and Training Program (OTEP) classes with all agencies, scheduling EMT courses, and other EMS Office taught classes as needed.
    • Assists in coordinating and scheduling instructors and (simulated) patients for classes.

    • Completes all mandatory State forms for initial courses (WA DoH), including obtaining approval vote and signature by EMS Council.
    • Maintains communication with the State Department Of Health (DOH) as the Yakima County EMS Coordinator.

    • Reviews and ensure that all training completed by providers meets Washington State WACs, approve or disapprove all providers training for recertification on the DOH Website (HELMS).

    • Verify completion of mandatory training to the Medical Program Director for approval or denial of certifications.
    • Function as liaison between the EMS office, EMS agencies (including fire departments in respect to EMS) and Washington State DOH to ensure distribution of accurate information from Washington State to all agencies and provide explanations of what, how and why as necessary to agencies.

    • Performs accounts payable and receivable functions.

    • Reviews and pays all invoices, including reviewing US Bank statements and travel for all employees. Creates invoices and bills for all department services and out-of-district billing of patients who meet the necessary requirements (Resolution 516-2008).  Monitors receipts and processes deposits.

    • Ensures all necessary documentation and projects are completed to meet requirements of grant contracts with the South Central Region. Complete all of the necessary paperwork for the County Grants Management Office to process, audit and review accounts.

    • Completes all necessary paperwork for Contract Employees such as  documentation for grants and  annual agency reporting requirements.

    • Functions as Time Keeper for Department. Reviews and may perform time entry for employees as needed.

    • Purchase necessary equipment and supplies.  Assist in determining what equipment is needed based on the skills for OTEP and EMT classes and as requested by medical providers.

    • Coordinates and maintains appointments for contracted Medical Program Director, assists with the QI/QA Committee & Protocol Committee as needed. 

    • Record minutes and write correspondence.

    • Ensures that protocols are delivered to all agencies with return proof of distribution to all providers.

    • Schedules meetings with providers, and MPD Run Reviews.

    • Functions liaison for school districts for the Special Needs Patients. Review physician orders for special needs children a the school districts for compliance.

    • Functions as a member and Secretary for the Yakima County EMS & Trauma Care Council. Schedules locations and dates/times of meetings, takes minutes and distributes agenda and minutes two weeks prior to each meeting.
    • Assist in instructing CPR, fist aid, Stop the Bleed, Advanced First Aid, EMT Class, and OTEP

    • Proofs, reviews and edits training videos as needed.

    • Schedules and reviews computer based exams for Paramedics new to Yakima County, including sore review and answering questions.

    • Proofs, reviews and edits training videos as needed. Reviews, checks for accuracy (including following all WACs), and edits OTEP, including student text, PowerPoints, skills sheets and exams, Yakima County MPD Protocols and County Operating Procedures and edits bylaws from Yakima County EMS & Trauma Care Council and provides input to Program Coordinator.

    • Performs moulage on volunteers/ participants in live scenarios such Active Shooter Drills, Airport Disaster Drills and required emergency medical service personnel trainings.  Applies mock injuries for the purpose of training first responders in Yakima County.
    • Other duties required.
    • Valid WA State Driver’s License and proof of insurance, if requested.
    • Successful completion of a general employment verification.
    • Proven work experience with Microsoft Office software products, ability to perform online research

    Nice to Have

    • Knowledge of medical terminology, basic bookkeeping and administrative skills.
    • Work experience with financial data management systems such as Workday
    • Working knowledge of all EMS equipment for BLS, ILS and ALS.
    • CPR Instructor and Washington State EMT Certification.Emergency medical services or fire fighter experience paid or unpaid

    • EMS Instruction (CPR, AED, EMT)
    • Basic office knowledge including financial
    • Working familiarity of requirements for initial certification, recertification, reciprocity and challenges for providers(these can be learned but a general knowledge of the process is needed at time of hire).
    • Familiarity with the National Registry of EMTs for initial certification of providers for Washington State.
    • Working familiarity of all State requirements for the Ongoing Training and Evaluation Program and initial courses.

    • Be able to use all basic EMS equipment
